Send or update an RFP

The Add Locations page is where you choose the locations where you want to send RFPs.

To send a new RFP

  1. While working in a Meeting, click the RFPs tab.

  2. Click Add Location.
  3. Do one of the following:

Locations not already added for this meeting appear.

  1. Select the locations and then click Add. The search window closes and the newly added locations are displayed in the RFPs tab with a status of Draft.
  2. If you need to add location-specific details or comments before sending, click the RFP ID number to open that location's lead. Enter details and click Save.
  3. Select the RFPs, and click the Send button. Wait patiently for the Send RFPs window to open.
  4. Browse to any attachments you want to include. You can add up to 3 files, not to exceed a total file size of 15 MB.
  5. Enter any greetings or additional message for the location that's receiving the lead in the Comments.
  6. If you want MeetingBroker to send an automated email message to the customer, select the Send Customer Confirmation Email check box.
  7. Click the Send button. The Status changes from Draft to New. The location receives a New RFP email message from MeetingBroker.

To update an RFP

If, after sending an RFP to a location, you need to make changes or send additional attachments, follow these steps:

  1. Do one of the following:
    • If you need to change information for all locations, update those details in the General or Details tabs of the Meeting, and Save. Click the RFPs tab.
    • If you need to change information for only specific locations, click the RFPs tab of the Meeting, and then click the RFP ID number. Make necessary edits, and click Save and Close to return to the RFPs tab.
  1. Select the RFPs that have updates, and click the Send button. Wait patiently for the Send RFPs window to open.
  2. Add attachments or comments, and then click the Send button. The Status changes to Updated. The location receives an Updated RFP email message from MeetingBroker with an RFP Comparison page that shows them exactly what was changed, so you don't need to type that in your comments or send a separate message.
