Overview: Business data
As the booking progresses, you will update information such as status changes and actualized revenue in the RFP’s Business Data folder.
Click General on the Business Data page to update the status of the booking as it progresses.
After you save the RFP with the status of Turned Down or Cancelled, no further changes can be made. Make sure you update guestroom and event revenue prior to changing the status.
1. In the Business Status drop-down list, select one of the following statuses:
- Inquiry: This is the default status when the RFP is first received and indicates that you have not yet started processing the RFP.
- Prospect: You are bidding on the business but have not yet sent a contract.
- Tentative: A contract has been sent to the client and you are holding space.
- Definite: The signed contract has been received from the client.
- Turned Down: The business was never definite and has been lost.
- Cancelled: The business was previously definite, but has now been lost.
2. Click Save.
1. Click the appropriate page in the Business Data folder. (Agreed, Blocked, Picked Up, or Actual.)
2. Click the Edit button to open the Room Business Data window.
3. Enter the Qty and Rate information for each occupancy and room type.
4. Click Next and Save to update the next day.
5. Click Save and Close when you have updated the final day.
Each day also includes complimentary room and rate fields for each room type. The Average Daily Rate displayed will factor in the complimentary rooms.
Scroll down the page from the guestrooms section to the events section. Update the event information such as attendees and revenues.
1. Click the Edit button to open the Event Business Data window.
2. Enter the event specifics.
3. Click the Next and Save button to continue to the next day. If you are on the last day, click Save and Close.
As you update the information for each page (Agreed, Actual, etc.), select the Is Complete check box to indicate that the numbers are final. Each page has its own check box. This confirms to the sender that you are updating MeetingBroker as the booking progresses, and determines what type of revenue is included in MeetingBroker reports.
