RFP Tracking report
The RFP Tracking report displays a list of RFPs sent or received within a specific period of time. This detailed report provides helpful RFP particulars like Peak Rooms, Total Blocked Rooms, and the RFP Status.
Subscription Admin |
May view all RFPs for all active and inactive locations in the subscription. |
Location Admin |
May view the report only if you also have Director or Supervisor access. |
Director |
May view all RFPs for the locations where you have access. |
Supervisor |
May view all RFPs for the locations where you have access. |
Sales Manager |
May only view RFPs where you are the sender or receiver (cannot view leads you have been copied on). |
To run the report

Click the Reports tab

Select RFP Tracking Report from the list.

For the Report Type, select whether you want to view sent RFPs or received RFPs.
The Sent option includes both new and redirected RFPs.

In the Start Date boxes, type the range of arrival dates (the first day of the meeting), or click the calendar button to select dates.

In the First Sent Date boxes, type the range of origination dates (the date when the RFP was created), or click the calendar button to select dates.

Type the organization associated with the primary contact for the RFP.

Select one or more statuses for the RFPs you want to include in the report.
RFPs with Draft status do not appear because they have neither been sent nor received.

Do one of the following:
- If you selected the Sent report type, in the Sender box, select the users within the subscription who sent the RFPs in the Sender box.
- If you selected the Received report type, select the users within the subscription who received the RFPs in the Receiver box.
All active users from locations within the subscription are displayed.

Select one or more countries:
- If you selected the Received report type, the countries represent where the receiver is located.
- If you selected the Sent report type, the countries represent where the sender/channel is located.

If you selected the Received report type, select the channel.
Channels appear when they are configured for at least one location the user has access to.

Click the Search button to select a location:
- If you selected the Sender report type, choose a receiving location in the Select User Locations window.
- If you selected the Receiver report type, choose a sending location in the Select User Locations window.
All locations within the subscription that you have access to are displayed.

Select how you want to sort the information in the report.

Select whether you want to print the report in HTML or Microsoft Excel format.

Click Create Report.

Receiver |
The MeetingBroker user who received the RFP. |
Sender |
The MeetingBroker user who sent the RFP. |
Channel |
The name of the channel that sent the RFP. |
Receiving Location |
Name of the location that received the RFP. |
Sending Location |
Name of the location that sent the RFP. |
Name |
Name of the meeting. |
Primary Contact |
The contact person for the account (meeting planner). |
Organization |
The company associated with the account's contact. |
Start Date |
First day of the meeting. |
Peak Rooms |
Maximum number of sleeping rooms needed by the meeting for a single day. |
Total Block Rooms |
Total number of sleeping rooms reserved for the meeting. |
Status |
The status of the RFP. |
Escalation Level |
The number of times the RFP was escalated. |
First Sent Date |
The date when the RFP was first sent. |
