Create rooms
Perhaps you overlooked a space during the initial onboarding, for example, that small utility room that contains a fuse box. Or maybe property renovations have created additional rooms. Regardless of the reason—you can't send an engineer or houseman to a room if it doesn't exist in HotSOS.
To create a room
- Enter the Name of the room.
Remember to be consistent in your naming standards.
- Each Room # is automatically assigned. We recommend you leave this as assigned. The exception is when adding guestrooms, and matching the room # to the guestroom number. For example, the Room # can be changed to 1001 to match Guestroom 1001.
- Select the Type.
- If you select a type that has user-defined fields, a new optional tab (UDFs) becomes available to you. While you do not have to fill out any of the fields, consider how valuable it is to the person responding to have this information at their fingertips. For example, UDFs for a meeting room might include all A/V equipment, paint color, light fixtures, airwalls, house phone, and so forth.
- When you select Guestroom/Suite as the type, complete PMS Room and select the Room Category. Room category is a required field.
- If the room requires a barcode scan to start, stop and complete an order, slide the toggle to turn on Barcode.
Make sure barcodes are printed and placed so they can easily be scanned.
An area groups together rooms or equipment. For example, Meeting Space area might have all the meeting rooms, meeting room lobby, breakout rooms, and restrooms defined.
- In the Available column, select the area(s) and then click at the bottom of the page to move the areas to the Selected column.
- Click to save your changes.

In the Available column, click the check box to the left of the language. More than one language may be selected.
- In the bottom bar, click to move languages to the Selected column.
- Enter translation for each language selected.
- Click .
- Click to save.
