Create bookings with channel rates and availability

This feature is only available with version R55 or higher. To determine the release installed in your org, see Installed Packages.

Sales managers can use the Channel Rates and Availability interface to search their properties that sell online and view the same availability and pricing for guestrooms and packages as an online shopper. They can then create a booking with that pricing from this interface.

Users can access this interface using the Channel Rates and Availability button on the Availability page.

To create a booking with channel rates and availability

  1. Click Channel Rates and Availability on the Availability page. The Channel Rates and Availability page displays in a new browser window.

  2. Complete the fields on this page as appropriate.

    An asterisk indicates a mandatory field. These fields need to be complete before you can proceed.

    Channel rates and availability details
    Property Select the property to search for guestroom or package inventory.
    Start Date Enter the start date of the booking.
    End Date

    Enter the end date of the booking.

    The date range cannot be longer than 14 days.

    Peak Guestrooms

    Enter the maximum number of roomnights for any day of your search.

    For example, if a customer is interested in booking 5 roomnights on the first day and 7 roomnights on the second day, enter '7.'

    Peak Event Attendees

    Enter the maximum number of attendees for any day of your search.

    For example, if a customer expects 50 people to attend events on the first day and 75 people on the second day, enter '75.'

  3. Click Search. The search results display the following information:

    You need to enter a value in either Peak Guestrooms or Peak Event Attendees for the Search button to be available.
    If no inventory matches your criteria, a warning message displays.

    Search result details
    Date range This is the date range used in the search.

    You can use the single arrow buttons next to the date range to adjust your search dates by one day. You can also use the double arrows to adjust your search dates by one week.

    Guestrooms details
    Room type code This is the code of the room type. This value comes from your API integration.
    Room name This is the name of the room type. This value comes from Delphi.

    Maximum number of rooms (Icon of person sleeping in bed)

    This is the maximum number of rooms that can be booked per day across the date range for this room type.

    Price

    This is the price to book this room on each day of your search criteria. This value comes from your API integration.

    Packages details
    Function room name This is the name of the function room where this package is available.
    Package name This is the name of the available package.
    Room rental This is the default room rental charge. This displays above the per person or per event price.

    Per person (Icon of a person with a plus sign) or per event (Icon of a calendar) price

    This is the package price which displays as either per person or per event. This displays below the room rental charge.

    Minimum number of attendees (>#)

    This is the minimum number of attendees required to book this package in this room. This displays above the attendee entry value field.

  4. Enter the number of guestrooms for each day in the guestroom section, and the number of attendees in the applicable package fields.

    A warning (Icno of a warning sign) displays when the peak guestroom or peak attendees value entered exceeds the search criteria. A warning also displays when the value entered for packages is less than the required minimum number of attendees for that package.

  5. Click the Shopping Cart (Icon of a shopping cart) on the right side of the page to review your selections.

    The shopping cart is unavailable until all warnings are resolved.

  6. Click Expand (Icon of an arrow pointing downward) to see your selections per day.

  7. Review the Estimated Total.

  8. When finished, click Book. The Create Booking window displays.

  9. Complete the fields on this window as appropriate.

    An asterisk indicates a mandatory field. These fields need to be complete before you can proceed.

    Create booking details

    Group Name Enter the name of the booking.
    Status

    This is the default status of the booking.

    This value cannot be changed until the booking is created.

    Arrival Date

    This is the first day of the booking.

    This value cannot be changed until the booking is created.

    Departure Date

    This is the last day of the booking.

    This value cannot be changed until the booking is created.

    Nights

    This is the total number of nights in the booking.

    Account Create or select the account associated with the booking. By default, the online booking default account displays. See Channel management for more information on the online booking default account.
    Contact Create or select the contact associated with the booking.

    Market Segment

    Select the market segment for the booking, which can be different from the account's market segment. By default, the market segment associated with the online booking default account displays.

    Booking Type

    Select the booking type. This is more specific than the market segment and can further describe the group's business.

    Meeting Class

    Select the meeting class. This can be used to classify the business to something more specific than the booking type.

    Lead Source

    Select how the business learned about your property.

  10. Click Create Booking when finished.
