Join accounts

With all properties sharing accounts and contacts, duplicates are bound to happen. You can keep your lists clean by joining the duplicates together. If you have Corporate Administrator access, you can use the Join Accounts option that is found in the More... button. Before joining, it compares the two records side-by-side and allows you to select the best information to keep from each one. This feature is especially helpful when new properties are added to an org with their own list of accounts. All of the associated records, such as activities, contacts, bookings, etc. are retained from both accounts in the newly joined one.

An activity is automatically added to the joined account, including the name and address of the deleted account, the date, and is assigned to the user who performed the join.

To join accounts

  1. Open one of the duplicate accounts and select Join Account from the More... button.
  1. In the pop-up window, search for and select the other duplicate account, and then click Compare.
  2. On the Compare Accounts page, the values are displayed side-by-side. Select the most accurate information from each account. The Master Record you select will be the record that is retained, the other account is deleted. The Created by and Last Modified by information is retained only from the master account.
  3. Click Join. The joined account is displayed.

Duplicate accounts often also mean duplicate contacts. Don't forget you can join those too using the Join Contact option in the More... button from the Contact page.

Good to know

Inactive accounts can't be selected as the master. The Active check box is located in the account's Additional Details tab.

In a multi-module org, an account with a booking, inquiry, or volume contract for an Advanced property must be selected as the master account. If attempted, the join will fail.
