Booking Export report
Using the Booking Export report, you can download every field from a booking or group of bookings by day. The information is data typed making it easy for you to slice and dice the data in Excel, combine with other reports, or upload to other systems.
How can I tweak the report data?
The Report Options you select determine what is displayed in the report data. Here are a few tips to help you get started.
Report Options | Tips |
Pattern Start Date/End Date | Enter a date range to search for bookings that are in-house during that time. The current month is selected by default. Pattern Date refers to the guestrooms blocked on a specific date, regardless of the booking’s arrival and departure dates. For example, if a booking’s arrival and departure dates are October 30 – November 3 and the Pattern Start and End Dates are October 1 – October 31, only the booking’s guestrooms on the 30th and 31st will be included in the report. |
Property | Select the property you want to report on. |
Owners | Select the sales managers whose bookings you want to include. |
Status | The active statuses (prospect, tentative, and definite) are selected by default. If you want to report on inactive bookings, select the other options in the drop-down list. |
How do I run the report?
Click View Report. Here are a few additional things you can then do:
- To export the report data to Excel, PDF, CSV, or another supported file format, use the Export
picklist.
- To scroll through a multi-page report, use the First Page
, Previous Page
, Next Page
, and Last Page
buttons.
- To change the report zoom, use the Zoom picklist.
- To print the report as a PDF, use the Print
button.
- To use the search field, enter the first few characters of the word you want to find (for example, the booking post as) and press Enter or click Find. Click Next to view all instances that match your search criteria.
What does it all mean?
Each booking that falls into the pattern date is displayed. A separate row is created for each pattern date. So if the booking is in house for 3 nights, there will be 3 rows. Remember, the report is based on pattern date, so if a booking arrives before the pattern date but carries over into your reporting range, you will only see part of the booking.
Good to know
For each event revenue classification:
- Forecast Average Check is calculated using the total revenue for that classification divided by attendance. Expected attendance is used unless it is blank, then agreed attendance is used.
- Actual Average Check is also calculated using the total revenue divided by attendance. The higher attendance number from guaranteed and actual is used.
- Event Attendance - When multiple events are associated on the same day, the max of each type (agreed, forecast, guaranteed, and actual) is used in the report.
The data in the report can be delayed by up to 15 minutes. If the data doesn't match what you expect to see, run the report again.
