Package details
Use this page to add and manage all package related details. The general flow is to select a package and then add the events and guestrooms. Each package has been defined by your property administrator and includes the default guestrooms and events—this streamlines the booking process and is really the beauty of packages.
Select a Package and then click Save. The Display Name and Description prints on contracts — you can update this information if needed.
Package Attendance
Enter the attendance for each day the group will have the package, and then click Save at the top of the page.

Events only package with no guestrooms on the booking — you'll add attendance to all of the days.
Events only package with a guestroom block that's not part of the package price — leave the arrival date blank and only add package attendance starting on day 2.
Package that includes guestrooms and events the next day — start the package attendance on the arrival date and leave the last date blank.
If this is an events only package, event attendance numbers must be managed in the Package Attendance grid - they cannot be updated on the Event. For example, if you need to update the number of attendees that attended the event, simply return to this page and enter your changes in the Blocked/Guaranteed field (or Actuals if you are on the latest product release). This will update everything that is included in the package. If your package includes guestrooms, the attendance is managed in the guestroom block.
Package Guestrooms
If the package includes guestrooms, click + Room Block, select the room type and then click Create. This blocks the rooms in single occupancy. If more than one room type is available for this package, select the room type where you want the default attendance applied. If you need to divide the attendance up into different room types or occupancies, or adjust the guestroom portion of the package price, click the Details button to make the necessary changes.
Remember that each number entered in double, triple, or quad occupancy represents multiple attendees.

If you put 1 in the double occupancy field, that represents 2 attendees. 1 in triple equals 3 attendees, and 1 in quad is 4.
So when a guestroom count is entered as 1/1/1/1, total package attendance equals 10 (because it's adding up 1, 2, 3, and 4).
When you save, the guestroom summary will show that you have 4 guestrooms. When you create your events, 10 will be entered for the event attendance.
All room types must have the same rate for each occupancy — otherwise, the total per person package price will be skewed.
Packages with guestrooms are managed a bit differently in that after the guestroom block has been created, the package attendance is managed in the room block. That's because it's the place where you can divide the guestroom occupancy into single, double, triple, and quad. So if your package has events and guestrooms, and you enter a quad guestroom count, each quad room represents 4 people at the events. Updating the attendance in that one place flows into all of the package events and items—so quick and efficient.
Package Events
If the package includes events, click + Events — adjust the details if necessary, and then click Create Events.

In the Package Events page that opens, all of the events that are included in this package are displayed. If your customer doesn't need an event, clear its check box and then click Create Events.
The start and end dates are based on what you've entered in the Package Attendance section. To change the date, click the Date field, select a new date, and then click to save.
Although the event price is displayed, you can't change it here — you can adjust it after the event is created.
You'll want to edit each event and assign a function room, room setup, and verify the start and end times (you can also do this from the Events section on the Booking page). If your package price includes function room rental, clear the Rental Amount field. If you need to change the package price, scroll down to the Package Event Revenue Breakdowns section and update as needed.
Package Prices Per Day
After you have detailed the guestrooms and events, double-check that the package prices and dates all add up as expected for this booking.
Change a package price
The package price is the total of all the different things that the package includes. While the customer just wants to see one total price per day, your company needs to report how much of that money is for guestrooms, food, beverage, audio visual, etc.

When your administrator built the package templates, they assigned a revenue breakdown for each package component.

If you negotiate a different package price with your customer, you should discuss with your director or finance team how they want you to adjust the breakdowns. Typically they only allow changes to the guestroom rate or the function room rental (otherwise the chef gets upset and nobody wants that).
To adjust the guestroom allocation, just open the guestroom details and change the guestroom rate.
To adjust the function room rental, open each meeting event, scroll down to the Package Event Revenue Breakdowns section, and edit the function room rental row.
Of course there may be times when a customer doesn't need the audio visual equipment (adjust the A/V breakdown on the meetings) or they might upgrade to a hot breakfast instead of a continental (food allocation on the breakfasts) that cause you to adjust something other than room rate or rental. Just make sure after you change the breakdowns, you check the totals at the bottom of the package details page to make sure you have the package price your customer is expecting on their contract.
