Create user
Only a corporate administrator can create users.
Adding a new user is quick and easy—however, a few fields require a bit of explanation.
When adding a new user, you're required to enter a Username and Email. The Username must be in email format and unique. If the Username is not available, you’ll be prompted to enter another one. You can enter a new username that is slightly different from the original. For example, john.smith1@hotel.com, instead of the original, john.smith@hotel.com. In the Email field — enter the user's current email address.
Your license agreement determines which Product Type you should select. Essentials is for guestroom only properties. Standard is for properties that sell guestrooms and events.
The Active check box is selected by default. If the user later leaves your company, you'll clear this check box so they can no longer log in. That license will then be available for another user.
Select the Corporate Administrator check box if this user is a corporate administrator. Corporate administrators require a special license that gives you rights to create users and modify setup values and all records for ALL properties. If this user will just be an administrator for certain properties, do not select the check box—you'll make them a property administrator on the next page.
After you create the user, the Corporate Administrator check box can't be modified, so make sure you are certain. If you accidentally create a user with the wrong corporate administrator setting, you'll need to change the existing user to inactive and create a new one.
The Enable Multi-Factor Authentication check box is selected by default to add an extra layer of security that verifies the user's identity each time they log in. The user must have a mobile device they can access when logging in. To learn more, see the Activate MFA topic.
The Language you select defines what language the product pages, reports and documents appear. At this time, users can switch to any of the following languages:
- French (requires R45 or higher)
- German (requires R47 or higher)
- Spanish (requires R47 or higher)
We continue to take steps to develop localization for additional languages. We'll let you know in the release notes when these will be ready. In the meantime, we recommend users keep the default of English until their language becomes available.
We are working towards the capability of translating our entire application into languages other than English.
As part of that work, we've added translations for our default setup values and event classifications in Chinese (Simplified and Traditional), Dutch, French, German, Italian, Spanish, Polish, and Portuguese (Portugal and Brazil). So if you're located in Brazil and some of your users have selected Portuguese as their language, as of version R39, they will see some of the values for things like market segments and event classifications in Portuguese. If you added any setup values that were not in our default list, they will display in English.
Until our development of localization is complete, we recommend that your users set their language to English for consistency in documents and reports.
The Locale applies formatting for dates, times, numbers, and currency symbols in the application. Formatting is also applied to documents like contracts and BEOs for certain locales.
Document formatting is supported for the following locales:
English (US, Australia, Canada, Ireland, New Zealand, and United Kingdom)
German (Germany)
Spanish (Spain)
French (France)
Italian (Italy)
Dutch (Netherlands)
Polish (Poland)
Portuguese (Brazil and Portugal)
Chinese (Simplified and Traditional)
Thai (Thailand)
After you finish creating the user record, an email notification will be sent to the user from Salesforce.com. After they click the link in this email, they'll be able to set their password for logging in to the system.
Click Create User. This opens the User Details page where you must take one more step—give the user access to a property.
