Set Visible to all properties to be checked by default

Many times, corporate administrators want to share accounts with all properties in the organization. A checkbox on the Account page, called Visible to All properties, makes this possible. While some organizations rely on users to manually select this checkbox each time an account is created, others use a Salesforce workflow and might not even have the checkbox visible to users on the Account page.

Recently, Salesforce made the decision to retire workflows. To address this issue, a new option has been added to Amadeus Settings that can be used in place of the workflow. When enabled, the Visible to All properties checkbox is automatically selected when new accounts are saved. The accounts are then automatically shared with all Delphi and Delphi Core properties in the org.

If your org currently uses a workflow to share accounts, you need to enable the new feature before you deactivate the workflow.

To enable this feature, select your Salesforce experience and follow the steps below.

  1. Navigate to Amadeus Settings.

  2. Under Org-Wide Default Settings, select Share accounts with all properties.

  3. Click Save.

  4. Navigate to Setup.

  5. In Quick Find, enter 'Workflow.'

  6. Under Workflow & Approvals, click Workflow Rules.

  7. Use the View dropdown list to select All Workflow Rules.

  8. Review the active workflows in your org and look for a workflow titled Set Visible To All Properties. If you do not see it, double-check all workflows on the Account object to ensure the workflow does not exist under a different name. If your org does not have an existing workflow to automatically share accounts with all properties, no further action is needed—the enablement is complete. If your org does have this workflow, click Deactivate next to it and confirm the deactivation when prompted.

  5. In Quick Find, enter 'Workflow.'

  6. Under Workflow Actions, click Workflow Rules.

  7. Use the View dropdown list to select All Workflow Rules.

  8. Review the active workflows in your org and look for a workflow titled Set Visible To All Properties. If you do not see it, double-check all workflows on the Account object to ensure the workflow does not exist under a different name. If your org does not have an existing workflow to automatically share accounts with all properties, no further action is needed—the enablement is complete. If your org does have this workflow, click Deactivate next to it and confirm the deactivation when prompted.
