Setup MeetingBroker integration

If your property has purchased MeetingBroker integration, administrators must complete a few tasks to make sure the two systems perform well together and you get the most out of your investment.

Users

Administrators must create a user profile in both Amadeus Sales & Catering - Delphi Select and MeetingBroker for each user that responds to leads.

The integration requires that the user’s e-mail address is the same in both systems. If you have eProposal, the e-mail address in the Cendyn user profile must match as well.

Users who will perform the duties of the Default Lead Coordinator (DLC) require full access to every lead. They must have Director access to the Location in MeetingBroker and Property Administrator access in Delphi Select.

In MeetingBroker, only the users themselves can modify their E-mail and User Name. If you find a discrepancy after you have saved the profile, ask the user to log in to MeetingBroker (https://my.meetingbroker.com/MeetingBroker/Public/Login.aspx), click the My Profile link, and make the correction.

Moving forward, if you make changes to users in Delphi Select, you also need to apply those changes in MeetingBroker.

Default Lead Coordinator

In the MeetingBroker section of the Delphi Select property page, there is a Default Lead Coordinator (DLC) field. How does this work with the Default Lead Coordinator field on the Location Details page in MeetingBroker?

New RFPs from MeetingBroker flow immediately into Delphi Select and create an inquiry. The user who is assigned as the DLC in MeetingBroker is assigned as the owner of the inquiry. If MeetingBroker is unable to find that user in Delphi Select (for example, the user’s e-mail address has been changed in one system but not the other, the user was deactivated in one system but not the other, etc.), the inquiry will be assigned to the user in the Default Lead Coordinator field in Delphi Select.

Setup Values

There are seven types of setup values that are passed between channels, MeetingBroker, and Delphi Select:

To ensure information passes correctly from the channels to MeetingBroker and then to Delphi Select, you need to compare and map these values. First, you will compare your MeetingBroker location setup values with the values defined in Delphi Select. Then you will map these setup values with your channels.

Location Setup Values

You’ll need to compare the list of setup values in MeetingBroker to the values you have in Delphi Select to ensure that your library of location setup values match. To see your current location setup values in MeetingBroker, click the Administration link, open your location, click the Settings tab, and then click the Setup sub-tab.

If there is not an exact match for a Delphi Select value, you can add it to MeetingBroker and then map it to a similar subscription value. For example, if Delphi Select has U-Shape as an event classification, but MeetingBroker has U - Shaped, you will follow these steps:

  1. Click the Add button below the Event Setup Type section. A blank field is added to the bottom of the existing list.
  2. Type U Shape in the Setup Value column.
  3. In the Map To column, select a subscription-level value that is similar, such as U-Shaped.
  4. When all values have been added and mapped, click Save.

If the Setup Value column is blank, add all of your Delphi Select values to the appropriate section.

If you see values listed in the Setup Value column that you can’t edit, those are subscription values, controlled by your corporate administrator.

Channels

Each channel has a unique list of setup values. After you've completed entering property-specific location setup values and mapping them to subscription values, you need to map your values with each channel you subscribe to. If mapping is not done, the values will appear as “unknown” in the RFP and will be blank when you create the booking in Delphi Select. In MeetingBroker, click the Channels sub-tab in the Settings folder and select Active in the Viewing drop-down list. If you have enabled the Facebook channel, you will find it by clicking the Is Trusted check box.

If you have eProposal, two Cendyn channels will display as active. No action is required for those channels because they do not have setup values.

To map a channel’s setup values, follow these steps:

  1. Click the channel to open the Information page.
  2. Click Auto Map and wait for the yellow confirmation message to display. If any of the channel’s values match your subscription or location values, they will map automatically. Values that were not matched during the Auto Map process will begin with "Unknown".

  1. Review all of the selections in the Your Value column and make sure they are values you have in Delphi Select (not a subscription value that you don’t use). Select the best matching Delphi Select value from the drop-down list in the Your Value column.
  2. In the image above, Cvent has an event type of Break, but you have AM and PM Breaks in Delphi Select, so it didn't find a match and displayed "Unknown: Break". To avoid having blank values when you create a booking, you must change Your Value to AM Break.
  3. Click Save and Close.

Repeat for each active channel.

Sometimes leaving a value as "Unknown" is better than mapping it—if none of your values are similar to the channel's value. For example, if a channel has an event type of Golf but your location does not offer golf, the Property Sales Manager should discuss the event with the planner rather than mapping the event type to something that does not apply.

Outbound Mapping

Channels that receive business data from MeetingBroker also require mapping of outbound information. The following table explains which channels and values you should map.
