Add default charge routing in agent profile

You are working at the front desk and receive an email from a colleague that a specific agent is going to pay all room and breakfast charges for their employees. Adding default charge routing in the agent profile allows this rule to be applied to all reservations linked to the agent.

A PMS message displays asking to copy the default charge routing from the agent into the reservation when a new booking is made.

To add default charge routing in an agent profile

  1. From the home page, do one of the following to open the seek page:
    • Press CTRL+T on your keyboard.

    • Click Relation in the top bar, select Agent and then Agent.

  2. Modify the fields as appropriate.

    Trav Name

    Enter the agent's name.

    Street

    Enter the address of the agent.

    Zipcode

    Enter the postal code of the agent.

    City

    Enter the city of the agent.

    Country

    Enter the country of the agent.

    Bank Account

    Enter the bank account name.

    A/R Number

    Enter the accounts receivable number of the agent.

    A/P Number

    Enter the accounts payable number of the agent.

    IATA Code

    Enter the IATA code.

    Trav Number

    Enter the agent profile number.

    Vat Number

    Enter the VAT number of the agent.

  3. Click Confirm (). The Browse agent page displays.

  4. Do one of the following to display the agent profile.
    • Select the appropriate agent and click Confirm ().

    • Double-click the appropriate agent.

  5. Click Charge routing (). The charge routing page displays.

  6. Modify the fields as appropriate.

    Post groups

    Select the post groups to include in the charge routing.

    You can select multiple post groups by pressing the CTRL button on your keyboard.
    Any article in a reservation linked to the post group is posted in the subfolio you select in the chargerouting.

    Standard

    Next, identify to which folio these groups should be posted. Select the subfolio B, C or D.

    Subfolio C is mostly used as the agent folio.

    Alternate

    Optionally, you can charge the post groups to the folio with the alternate address.

    This is used when an alternative address is added in the reservation and maximum amount is enabled.

    Maximum amount

    Optionally, enable and add a maximum amount.

    For example, If an agent only pays a certain amount for food, you can set a maximum amount for several post groups to post on the agent subfolio C. When the maximum amount is reached, the remaining charges are posted on the general subfolio A.

    Start date

    Optionally, enter a start date to identify if the charge routing is only activated for a portion of the stay.

    If the date fields are blank, the charge routing rules are valid for the entire length of stay.

    End date

    Optionally, enter an end date to identify if the charge routing is only activated for a portion of the stay.

    If the date fields are blank, the charge routing rules are valid for the entire length of stay.

  7. The charge routing rules selected display at the bottom of the charge routing page .

  8. The post groups selected are listed. The routing indicates if the posting is added in the standard or alternate folios. In information it displays where the post group is posted in the reservation and if a maximum posting amount is entered.

  9. Do one of the following: 

    • Click Confirm () to confirm your chargerouting.

    • Click Cancel () to discard your changes.
