Add group block in group reservation

You are working at the front desk and have just created a new group reservation. The group reservation is saved but the group block still needs added in the reservation. Group blocks allow you to block a rate type and room type for the group.

Prerequisites

The group and group blocks modules must be activated in the PMS. To activate, follow this path: Settings > Options > Modules > Groups > Group blocks.

To add a group block in a group reservation

  1. From the home page, do one of the following to open the seek page:
    • Press SHIFT+CTRL+R on your keyboard.

    • Click the Reservations menu in your top bar and select Group Reservations.

  2. Complete the search fields on this page as needed. All fields are optional.

    Seek details
    Folio number

    Enter the unique number of the group reservation.

    Group Name

    Enter the group name of the reservation.

    Booker

    Enter the booker's name of the group reservation.

    Company

    Enter the company attached to the group.

    Company contact

    Enter the name of the contact person.

    Event type

    Enter the event type of the reservation.

    Travel agent

    Enter the agency attached to the group.

    Travel agent contact

    Enter the name of the contact person.

    Arrival date

    Enter the arrival date of the group.

    Depart date

    Enter the departure date of the group.

    Option date

    Enter the option date of the group.

    Block status

    Select the group status from the drop-down list.

  3. Click Confirm (). The Browse group reservations page displays.

  4. Do one of the following to display the group reservation.
    • Select the appropriate reservation and click Confirm ().

    • Double click the appropriate reservation.

  5. Click the New group blockicon () in the group reservation. The new group block page displays.
  6. Modify the fields as appropriate.

    New group block details
    Start date

    Defaults the start date that was entered when the group was created. Changes can be made.

    End date

    Defaults the end date that was entered when the group was created. Changes can be made.

    Room type

    Select the room type to be blocked.

    Rate type

    Enter the rate type for the block.

    You can have multiple room and rate type blocks within the same group reservation. Additional group blocks can be added after-wards.

    Initial block size

    Enter the number of rooms to block for this rate and room type combination.

    Create empty blocks for other room types

    If this box is selected, the PMS creates a zero block for all room types of the property.

    This is useful if users need to be able to link individual reservations to a group on the fly. APMA allows linking reservations to a group, if the room type and rate type exist within the group reservation. Adding all room types to a group (even as 0 blocks) allows more flexibility.

  7. Click Confirm () to save the block. The edit group blocks page displays.

    The Edit group blocks page allows the user to adjust the original block size, edit a block, enter rates and easily see how many rooms are available in the property for the room type selected by date. Once the group block is saved, the original block size, found in the ''original field' is saved in the database and can't be changed. However the block 'size field' can be changed at any time.

  8. Click Confirm () to save the block.
