Cancel an individual reservation in a group

You are working at the front desk and receive a call from a guest needing to cancel one reservation in a group. You need to cancel only that individual reservation attached to the group and not the whole group.

To cancel an individual reservation in a group

  1. From the home page, do one of the following to open the Seek page:
    • Press SHIFT+CTRL+R on your keyboard.

    • Click Reservations in your top bar and select Group Reservations.

    To view the full list of all group reservations, leave all fields empty and click the confirm icon ().
    To check group reservations between a certain arrival and departure date, or with a specific name, complete the date range in the arrival and departure fields or enter the name in the corresponding field.

  2. Click Confirm (). A list of your searched group reservations displays.

  3. Do one of the following to display the appropriate group reservation: 
    • Select the reservation and click Confirm ().

    • Double-click the reservation.

  4. Select the individual reservation in the group and click the Cancel folio icon (). A PMS message displays asking to cancel the reservation.
  5. Click Yes to cancel the selected reservation. A PMS message displays asking for a cancellation reason.
  6. Enter the cancellation reason and do one of the following: 

    • Click Save () to save your cancellation reason.

    • Click Cancel () to discard your changes.

  7. When confirmed, a PMS message displays with the cancellation number. Click Ok to close the message. The status of the individual reservation changes from reservation to cancelled.
