Edit an extra in a reservation
You are working at the front desk and receive a call from a guest that they need two baby beds in their reservation instead of one. You need to edit the extra in their reservation by changing the extra baby bed quantity from one to two. Extras are additional services or tangible items that can be added to a reservation. Extras can have a price attached, or can be used as either an inventoried item, or even to record a service or item for reporting purposes. They are customizable per property.
Prerequisites

An article needs to be created before creating the extra item.
To create the article, follow this path: Settings > Financial > Articles

An extra can be created after the article is created.
To create the extra, follow this path: Settings > Financial > Extras
To edit an extra in a reservation
- From the home page, do one of the following to open the Seek page:
Press CTRL+R on your keyboard.
Click the Reservations menu in the top bar and select Reservations.

Complete the search fields on this page as needed. All fields are optional.
Seek details Folio number Enter the unique number for the reservation.
Arrival date Enter the check-in date for the reservation.
This field is auto-populated with the current system date, but it can be edited.
Departure date
Select the check-out date for the reservation.
Room number
Enter the room number assigned to the reservation.
Room type
Select the room type associated to the reservation.
Guest
Enter the name of the guest.
Company
Enter the name of the company associated to the reservation, if applicable.
Travel agent
Enter the name of the travel agency associated to the reservation, if applicable.
Booker
Enter the name of the booker.
Freq. stay
Enter the number that, when used, is linked to the guest profile.
Group number
Enter the unique number of the group associated to the reservation, if applicable.
Cancellation number
Enter the unique cancellation number, if applicable.
Ext. reference
Enter the unique third-party booking number, if applicable.
Reference
Enter the reference for the reservation.
Company contact
Enter the name of the company contact person, if applicable.
Travelagent contact
Enter the name of the travel agency contact person, if applicable.
Deadline
Enter the deadline.
- Click Confirm (
). The browse reservation page displays.
- Do one of the following to display the reservation:
Select the appropriate reservation and click Confirm (
).
Double-click the appropriate reservation.

To display the extras page, click the ellipsis
in the Extras field.
- Do one of the following to edit the extra:
Select the appropriate extra and click Confirm (
).
Double-click the appropriate extra.

Modify the fields as appropriate. An asterisk (*) indicates a mandatory field.
Extra details Start date
Select a start date only if the extra is charged for the selected date range.
If left blank, the extra is charged for the entire stay.
End date
Select an end date only if the extra is charged for the selected date range.
If left blank, the extra is charged for the entire stay.
* Extra
Select the extra from the drop-down list.
Sys created
This field is automatically filled with the name of the system that adds the extra to the reservation.
Description
Optionally, enter the description of the extra.
Fills automatically when the extra has a description included in the extra setup.
Quantity
Optionally, enter the quantity of the extra that is needed in the reservation.
Fills automatically when the extra has a specific quantity included in the extra setup.
Price
Optionally, enter the price of the extra.
Fills automatically when the extra has a specific price included in the extra setup.
Confirm
Optionally, select the check box if the extra should be displayed on the confirmation letter.
Extra number
Optionally, add a specific extra number.

Click Confirm (
) to complete your changes.

) to discard your changes.
