Equipment

Equipment can include large items, such as roof top units, elevators, air handlers, chillers, or small items such as blenders, water fountains, and exercise bikes.

Equipment is used as a location when creating orders so the respondent knows where to go.

When creating new equipment you'll need to specify the equipment type. You can add custom fields called UDFs (User-defined fields) to each equipment type—such as model number, filter size, coolant, service rep, and so forth.

To view the equipment details, click anywhere in the row.

Don't see your equipment in the Equipment module? Rest assured, it is not missing, simply located elsewhere. As a HotSOS Thick Client customer moving to HotSOS Desktop this is likely to happen.

In HotSOS Thick Client, rooms and equipment share the same Data Management entry: Room/Eq. In HotSOS Desktop each has its own entry in Configuration. Click this link for the steps to take to get your equipment moved to Configuration > Equipment.

Broad searches and filter selections might return large amounts of data. For greater efficiency, only 500 items display at a time. Page or scroll down to load the next increment.

Enter a full or partial keyword. Click Search (search icon) or press Enter.

Located is an equipment option and only returns information when defined in the equipment record.

Select to narrow the search. Use options individually or in combination.

For example, find all guestroom suites that are Presidential Suites

  1. Click the Search drop-down.

  2. Select Type.

  3. Enter 'guestroom suites' in the search field. A chip displays the search option.

  4. Click the Search drop-down.

  5. Select Category.

  6. Enter 'Presidential' in the search field.

  7. Select Search (search icon) or press Enter. Another chip is displayed with the second search option.

In equipment and rooms modules, the code field only returns the code as entered in the search field. For example, a code 100 only returns equipment or a room that is assigned code 100, but not 1001, 10001, and so forth.

The sort, filter, and column chooser are tailored for each module or tab. All features may not be available.

Click Refresh (refresh for current information) to view the most current information.

Click any column header to sort the values in that column in ascending or descending order. This is not displayed in the above image.

Use the column chooser to customize your view by removing columns that might not be useful to you or that clutter the view.

  1. Click and select Column Chooser (Column chooser). The Column Chooser menu displays.

  2. Click a column header, drag it to Column Chooser menu, and release. Continue until you have customized the view the way you want it.

  3. Click X to close the Column Chooser menu.

When you want to reset the columns to their original state:

  1. Click Column Chooser (Column chooser) and select Reset Columns.

  2. Click OK (Green checkmark indicating to save or confirm action) to confirm.

Click Download (Download data as Excel) to download the list to an Excel spreadsheet.

For rooms and equipment, only the 500 entries that display are downloaded. We suggest using Data Reports to generate a complete report for all rooms or equipment.

  • Each list view has its own filters. Use the filters to select and customize to focus on a specific group of data, such as a specific order type, status, location, and so forth.

    • Some filter selections might return large amounts of data. For greater efficiency, only 500 items display at a time. Page or scroll down to load the next increment.

    1. Click Filter Builder (filter builder) to open.
    2. Click a filter.
    3. Select parameters.
    4. Repeat steps 2 and 3 as needed.
    5. Click OK (OK - Save). The list updates based on the selected filters.
    6. Click Clear Filter (Filter reset) to remove filters.
    1. Select the checkbox to the left of any item or items in the list.
    2. Use the options at the bottom of the page to bulk edit the selected items.
      • Edit (multiple edit)
      • Delete (Delete)
    3. Click X to cancel.

    Click Create button to create new equipment.
