Function Diary reports

The Function Diary reports show function space availability at your property. This topic covers two versions of the report: Function Diary by Hour and Function Diary by Time Period. The primary difference is whether you want to view availability in hour-by-hour blocks (1:00 PM, 2:00 PM, etc.) or time period blocks (Morning, Lunch, Afternoon, and Evening). The report criteria and data are nearly identical in both reports.

To run the report

  1. Navigate to Amadeus Reports.
  2. Under Event, click Function Diary by Hour or Function Diary by Time Period.
  3. Complete the report criteria. Some of the criteria fields allow you to select multiple values. To do so, press the CTRL key while clicking each value you want to include in the report.
    Event Start and End DateEnter the date range for the events you want to include in the report. By default, the date range is set to the current month. A maximum of 31 days can be selected.
    Event Start and End TimeEnter the time range for the events you want to include in the report. By default, the start and end times are set to 12:00 AM.
    PropertySelect the property whose events you want to include in the report.

    You can only select the properties that you have access to.

    Function RoomsSelect the function rooms to include in the report. By default, all are selected.
    StatusSelect the event statuses to include in the report. By default, all are selected.
  1. Click Generate Report to view the report on-screen or Generate PDF to view the report as a PDF file that you can save or print.
  1. Review the report data.
    Function RoomThe name of each function room at the selected property is displayed as a section header.
    ColumnsReport columns display the dates in the selected date range.
    Rows Report rows display hourly blocks (Function Diary by Hour report) or time period blocks (Function Diary by Time Period report).

    Time periods are defined by your administrator on your Property page in the Morning, Lunch, Afternoon, and Evening Hours fields.

    Event StatusWhen an event is blocked in a function room, its status abbreviation (D, T, P) is displayed in the appropriate time block.
    • An uppercase letter indicates that the function room is booked for the specific day and time combination shown.
    • A lowercase letter indicates that the function room is not available because it is in use as part of a combination room.
    • If an event spans multiple time periods, it is displayed in all relevant time blocks.
    • If there are multiple events with different statuses during the same time period, then the highest status is shown (the highest status being Definite, then Tentative, and then Prospect).
