Function Diary reports

The Function Diary reports display function space availability at your property. This topic covers two versions of the report: Function Diary by Hour and Function Diary by Time Period. The Function Diary by Hour report displays availability in hour-by-hour blocks, for example, 1:00 PM and 2:00 PM. The Function Diary by Time Period report displays availability in time period blocks: Morning, Lunch, Afternoon, and Evening. The report criteria and data are similar in both reports.
To run the report
- Navigate to Amadeus Reports.
- Under
- Complete the report criteria. You can select multiple values for some criteria fields. To do so, press the CTRL key while selecting each value you want to include.
Field Description Event Start Date and End Date Enter the date range for the events to include in the report. By default, the date range is set to the current month. A maximum of 31 days can be selected. Event Start and End Time Enter the time range for the events to include in the report. By default, the start and end times are set to 12:00 AM. Property Select the property to include in the report. You can only select the properties that you have access to. Function Rooms Select the function rooms to include in the report. By default, all are selected. Status Select the event statuses to include in the report. By default, all are selected. - Click Generate Report to view the report on-screen or Generate PDF to view the report as a PDF file that you can save or print.
- Review the report data.
Field Description Function Room Each function room displays as a section header. Columns Report columns display the dates in the selected date range. Rows Report rows display hourly blocks for the Function Diary by Hour report, or time period blocks for the Function Diary by Time Period report. Time periods are defined by your administrator on the Property page in the Morning, Lunch, Afternoon, and Evening Hours fields.
Event Status When an event is blocked in a function room, its status abbreviation displays in the appropriate time block. - An uppercase letter indicates that the function room is booked for the specific day and time combination shown.
- A lowercase letter indicates that the function room is not available because it is in use as part of a combination room.
- If an event spans multiple time periods, it displays in all relevant time blocks.
- If multiple events with different statuses are in the same time period, then the highest status is shown. The highest status is Definite, then Tentative, and then Prospect.
