Create terms and conditions

You can define various terms and conditions that apply to different services provided at your property. Those terms and conditions can then be added to bookings and merged into contracts.

Terms and conditions are created on the property level by an administrator and are available only to bookings at the same property.

To create terms and conditions

  1. Open the property, navigate to the Terms and Conditions section, and then click New.
  1. Indicate whether or not the terms and conditions can be edited on the booking by selecting Allow Editing or Restrict Editing.

    The New Terms and Conditions page opens.

  1. Complete the fields on this page, as needed.
    Information
    Name

    The name of the terms and conditions clause as you want it to be displayed to users (for example, Guarantees Due).

    If you have DirectBook, this displays on the website.

    Sort OrderIndicates the order in which the terms and conditions clause will appear on the booking.
    Booking DefaultWhen selected, the terms and conditions clause will be automatically added to new bookings created at the property. When cleared, the user can choose to add the clause to the booking.
    Category

    Indicates the section where the terms and conditions clause should appear on the contract: General (default), Guestroom, or Event.

    If you have DirectBook, this determines when the term will be displayed to the shopper. For example, if you select Guestroom, it will only display if they are booking guestrooms.

    PropertyThe name of the property where the terms and conditions apply. If you are creating the terms and conditions from the Property page, the name of that property defaults in the field. Otherwise, find and select the property.
    ActiveWhen selected, the terms and conditions clause is active and available to users. When cleared, it is retired and no longer appears in picklists for selection.
    Record TypeIndicates whether or not the terms and conditions can be edited on the booking.
    SiteOnly displays if you have DirectBook. If you want this term to be presented to DirectBook shoppers, select your site. If your site name is not displayed in the Recent Items when you're searching, enter *DirectBook* as your search criteria.

    TermsA rich-text description of the terms and conditions clause. Use the formatting toolbar to customize the appearance of the text on contracts.
  1. Click Save.
