User details
Here you can modify the user's details and assign property access. You'll need to assign each user access to a property for them to create bookings, BEOs, etc.
To assign a user property access
- In the Property Access Management section, select the Property Name.
- Select the user's Access Level. You have two choices:
- Property Administrator - This lets the user modify all inquiries, bookings, and volume contracts at the property and gives them access to Setup. This access level is convenient for those properties that share all work.
- User - This lets the user see all the inquiries, bookings, and volume contracts at the property, but they can only modify the ones they own or have been given access to.
- If the user sells multiple properties, repeat the above steps for each property. Select one of the properties as the Default Property they should see when they log in to the system. They can switch from one property to the next by clicking the property name at the top of the page.
- Click Save and you're done!
Email a link to this New User Guide to help them get started.
Additional options in the User Details section
Employee turnover is inevitable. When someone leaves, clear the Active check box—this will free up their license for the next team member.
It’s important to note that deactivating a user doesn’t cancel the license, it simply makes it available for the next person that needs a login to the system. For more information on canceling licenses, which are set to auto-renew each year, please contact Amadeus sales.
The Corporate Administrator check box indicates if the user was created with corporate administrator access or not. Corporate administrators have rights to modify Setup and all records for all properties, and to create other users. This field can only be edited when creating a new user. If you accidentally create a user with the wrong corporate administrator setting, you'll need to change the existing user to inactive and create a new one.
Enable Backdating Bookings can be selected to grants a property administrator access to the Enable Backdating Bookings field on the Property Details page. This functionality is used by properties that just purchased the system and are manually entering their existing bookings. See Backdating bookings to learn more.
The Replace Setup Values check box can be assigned to a property administrator either permanently or for a short time to allow for database cleanup post migration or after a change in values.
The Enable Multi-Factor Authentication check box is selected by default to add an extra layer of security that verifies the user's identity each time they log in. The user must have a mobile device they can access when logging in. To learn more, see the Activate MFA topic.
Click Generate to display a Temporary Verification Code if a user loses or forgets to bring their device to work. The same code can be re-used to access the system throughout the day so you'll want to make sure they keep it safe. If they lose the code, you'll need to call support to expire it before you can generate a new one.
Disconnect MFA Device displays after MFA has been enabled for a user. If they get a new phone, click Disconnect. The next time they log in, the MFA setup routine will start over so they can connect their new device.
Set the Language and Locale to French, German or Spanish, if the user is a native speaker. After a quick refresh, every page including reports and merge documents will display in the chosen language.
