Overview: New Guestroom experience

As of version R49, two user experiences are available for entering and managing room blocks. The details on this page refer to the new guestroom management experience. For information on the classic guestroom experience, see Room Block Details for the classic Guestroom experience.

To block guestrooms for a booking, you can use the Room Block Details page to enter room count and rate information for each day. To open the Room Block Details page, do one of the following:

• Click Details in the Guestrooms section of the Booking page.
• Click Manage Guestrooms on the Booking page.
• In the Guestroom Bookings section of the Availability page, click Room Block Detail and double-click the appropriate room block.

Booking information

The top section of the Room Block Details page displays the booking name, dates, and the room block's property and status. If the property is integrated with a property management system (PMS), the PMS Group ID displays. If a room block is created from a package, a package icon and the name of the booking package also display.

Buttons

Button details
Modify Block	This button opens the Modify Room Block window. You can use the Modify Room Block window to do the following: Change a room block's name, duration, and date range. Mark a room block Pickup Complete. After you enter final pickup numbers and rates, select Pickup Complete and click Update to mark pickup complete. Change the status of the room block. Select the appropriate Room Block Status if different than the status of the booking. If your property configuration does not allow you to manage the status of the room block separately from the booking status, this field is read-only. When properties with an external availability integration change the room block status to tentative or definite, a warning message might display. This can happen when the room block numbers exceed the available inventory. Assign a tax set to the room block. Change the Cutoff Date, if different than the booking. Assign a PMS ID/Group Code. This option is used if your property is integrated with a PMS. Assign the room block a Rate Code, if applicable.
+ Room Types	This button is used to add specific room types to the room block. If your property is integrated with a PMS, you might be required to block rooms in specific room types depending on the status of the booking. Contact your property administrator for more information. If your property is not integrated with a PMS, you can block rooms in Run of House (ROH) or individual room types. Room types with inventory sourced through an external availability integration display a cloud icon ().
More...	This button includes the following additional options: Bulk Update - You can use the Bulk Update feature to reduce the time needed to enter room block information. With this feature you only need to enter the group's guestroom and rate information one time. You can then automatically copy the values to every night of the group's stay for one or more room types and all occupancy levels. Clear All Data - This option removes the selected room block's data on the current page. Delete Room Block - This option removes the room block from the booking.

Room types

The lower half of the page displays information about the different room types added to the room block.

• The room block's date range defaults to the same as the booking's arrival and departure dates. You can adjust this date range as needed using the Modify Block button.

• The Run of House room type displays by default.

• The Total Rooms row, under Room Block Totals and Run of House, display the number of guestrooms available for group business. How is Total Rooms calculated?Total Rooms = (Room Type Quantity - (Group Definite + Group Tentative) - Transient Protected).

• The Total Rooms row, for each specific room type, displays the following:

  • The number of blocked rooms for this room type.

  • The number of rooms available for group business during the specified date range. How is Total Rooms calculated?Total Rooms = (Room Type Quantity - (Group Definite + Group Tentative) - Transient Protected). For properties with an external availability integration, this number represents the available guestrooms from the external source.

    These numbers are adjusted as room nights are entered into the Block row.

• Room types with inventory sourced through an external availability integration display a cloud icon (). A warning icon () displays next to the room type and date if the entered guestroom amount exceeds availability.

• Each room type that you add to a room block can be expanded to see the following booking information:

  • Agreed - This is the number of contracted rooms.

  • Forecast - This is the number of guestrooms you expect to be used.

  • Block - This is the number of guestrooms you are taking out of inventory. If you have a PMS integration, this row is updated as reservations are made.

  • Pickup - After a group departs, you can enter the number of picked up rooms and the pickup rate for each room block here.

    If your property is integrated with a PMS, you might not need to enter pickup. For more information, contact your administrator.

• As you enter guestroom numbers and rates for the booking's room block, the information displays in the Room Blocks Totals and the Guestroom section of the Booking page.

Keyboard shortcuts

To help you add attendance, if enabled, the following keyboard shortcuts are available for the Agreed, Forecast, and Block rows:

• CTRL+B - This copies the rooms and rates from a selected room type and day to the rest of the pattern.
• CTRL+SHIFT+B - This copies the selected row, for example, Block, to the rest of the pattern.
• CTRL+S - This saves changes.

These shortcuts do not apply to the Pickup row.
Values are copied to the selected room type only, and you can only copy forward in a pattern. Existing values are not overwritten.

Modify room blocks
