Room change

You are working at the front desk when an in-house guest asks for a room change due to a leak in their room.

To change a room

  1. From the home page, do one of the following to open the Seek page:
    • Press CTRL+H on your keyboard.

    • Click the Front desk menu in your top bar and select Guest in house.

    • Click the Guest in house button () from the in-house navigation menu.

  2. Complete the search fields on this page as needed. All fields are optional.

    Seek details
    Room number

    This is the number assigned to the room.

    Folio number

    Enter the unique number for the reservation.

    Master

    This is the unique master number of the reservation.

    Arrival date

    Enter the check-in date for the reservation.

    This field is auto-populated with the current system date, but it can be edited.

    Depart date

    Select the check-out date for the reservation.

    Room type

    Select the room type associated to the reservation.

    Guest

    Enter the name of the guest.

    Company

    Enter the name of the company associated to the reservation, if applicable.

    Travel agent

    Enter the name of the travel agency associated to the reservation, if applicable.

    Booker

    Enter the name of the booker.

    Frequent stay number

    Enter the number that, when used, is linked to the guest profile.

    Group number

    Enter the unique number of the group associated to the reservation, if applicable.

    Cancellation number

    Enter the unique cancellation number, if applicable.

    Ext reference

    Enter the unique third-party booking number, if applicable.

    Reference

    Enter the reference for the reservation.

    Deadline

    Enter the deadline.

  3. Click Confirm (). The browse reservation page displays. 
  4. Do one of the following to display the in-house reservation: 
    • Select the appropriate reservation and click Confirm ()

    • Double-click the appropriate reservation.

  5. In the reservation page, select the Room move () icon. A PMS message displays asking to add the new room type and room number to the reservation, and also give a reason for the move.
  6. Enter the requested information and click Confirm ().

    When the register room move is activated in Setting > Options > Relations, an escalation message displays to fill in further information about the room move. This information is added to the guest communication log in the guest profile.

  7. Click Confirm (). A PMS message displays asking if you want to change the first night's room rack to the new room as well?
  8. Do one of the following: 
    • Click Yes to change the room rack display.

    • Click No to leave the first night display the old room on the room rack.

  9. When confirmed, the room reflects the change.
