Create event classifications

Event classifications describe the different types of occasions that can be booked at a property. Examples include Breakfast, Dinner, Meeting, and Reception. You can create corporate event classifications, but we recommend using property-specific classifications because each property's average checks and other default settings may differ.

To create an event classification

  1. On the Property page, navigate to the Event Classifications section and click New.

  1. Complete the fields on this page, as needed.
    Default Start and End TimesEnter the most common start and end times for an event of this type. For example, a Dinner might usually begin at 7:00 PM and end at 8:30 PM.
    Default PostedWhen selected, the event will be displayed in the Event Posting report, which is used to populate the reader boards. Some properties never post breaks, setup/teardown, or 24 hour holds, so you would clear this check box for those event classifications.
    Default SetupIf the same setup is always used for this type of event, select it. Otherwise, leave this blank.
    ActiveWhen selected (default), the event classification is available for use when blocking events. If it should no longer be used, clear the check box. Inactive classifications will continue to display in existing records but will not be available for new events.
    Default Average Checks

    For each applicable revenue classification, enter the amount that is typically charged for this event. For non-package events, this is used for forecasting revenue in reports until the BEO is detailed and the event is marked Done. (For package events, forecasted revenue is based on the event's revenue breakdown.)

    When your menus change, you might need to update average checks.

    Select the Average Check Factor, which determines how the forecasted revenue is calculated.

    Examples

    • If Default Food Average Check = $75.00 and Avg Check Factor = Per Person, Forecasted Food Revenue = $750.00 for an event with 10 attendees
    • If Default Rental Average Check = $500.00 and Avg Check Factor = Per Event, Forecasted Rental Revenue = $500.00 regardless of the number of attendees

    If Update Booking Event Average Checks is selected on the Property page, the average checks on an event will automatically update each time the event classification is changed.

The required fields are displayed with a red indicator. These fields must be completed before you can save the record.
