Overview: Package event revenue breakdowns

After you add an event to a package, you need to specify the event's revenue breakdown. Similar to a menu, the revenue breakdown for a package event is used to determine its per person price. For example, the revenue breakdown of a dinner might allocate 25.00 to Food and 10.00 to Beverage, resulting in an event price of 35.00 per person. Users can later modify this revenue breakdown if they negotiate a different per person price during the booking process, or if they associate an event to a booking package.

Because its per person price has already been determined, it doesn't matter which menus and items are added to a package event. As long as the Included in Package check box is selected for the menu or item, the event's revenue breakdown—along with the package attendance—will be used to calculate the package revenue and taxes. This is different from non-package events where the item unit price or the menu revenue breakdown is used to calculate revenue.

In the following example, Include in Package has been selected for the Grilled Chicken Dinner menu:

This tells the system to ignore the menu's 36.95 unit price (as well as its own revenue breakdown) and use the dinner's revenue breakdown when calculating the actual package revenue:

25.00 (Food allocation) x 50 (package attendance) = 1,250.00 Package Food Revenue

10.00 (Beverage allocation) x 50 (package attendance) = 500.00 Package Beverage Revenue

1,250.00 + 500.00 = 1,750.00 Package Event Revenue Total

You can see this revenue rolled up to the booking when you look at the Package Revenue section of the Booking page.

Conversely, if a menu or item should be sold as an add-on to the package, clearing the Included in Package check box tells the system to use the item unit price or the menu revenue breakdown to calculate the actual non-package revenue. You can also see this revenue rolled up to the booking. You'll notice that the forecast and actual revenue for a package are the same. This is because the revenue breakdown on the package event is used for forecasting rather than the average checks on the event classification.

Any guests who attend an event outside of the package are considered non-package attendees. For those individuals, the event's revenue breakdown is not used to calculate package revenue and taxes. Instead, the actual revenue is calculated using the item unit price or menu revenue breakdown. This is displayed as Non-Package Revenue on the Booking page and as separate line items on the booking check.

Function room rental

Function room rental should be entered as a per person amount on the appropriate event's revenue breakdown. For example, a meeting might allocate 20.00 per person to the Function Room Rental revenue classification. To ensure that rental revenue is calculated accurately on the package, a default rental rate should not be entered for the function room. See Overview: Function Rooms.
