Associate events to booking packages

Your administrator has assigned default events to each package that your property sells. You can, however, associate other events on the booking to the package. When you associate an event to a package, you can include the event's room rental and menus in the per person package price.

After you select the event to associate, you indicate how the event attendance needs to be calculated. If the event does not have a revenue breakdown defined, you need to enter that information. This information is necessary so the event can be included in the per person package price.

You need to create an event on the booking before you can associate it with a package.

You can associate an event to a package using the Booking Package Attendance page, the Booking Events grid on the Booking page, or the Edit Multiple Events window.

To associate an event to a package using the Booking Package Attendance page

  1. On the Booking Package Attendance page, click Associate Events. A list of all the events on the booking displays.
  2. Find the event you want to add to the package.
  3. In the Package list, indicate how the event attendance needs to be calculated by selecting one of the following:
    • Previous Day Attd - With this option, the event attendance is calculated using the package attendance that is set for the day before the event's start date.
    • Day of Attd - With this option, the event attendance is calculated using the package attendance that is set for the event's start date.
    • Next Day Attd - With this option, the event attendance is calculated using the package attendance that is set for the day after the event's start date.
  4. Click Save and Close to return to the Booking Package Attendance page.
  5. Click the Booking Post As link to open the Booking page.
  6. In the Booking Events grid, click View next to the event you just added to open the Booking Event page.
  7. In the Package Attendance section, click the booking package to open the Booking Package Event page.
  8. In the Event Package Revenue Breakdowns section, click New Event Package Revenue Breakdown.
  9. In the Unit Price field, enter the amount of the event price that needs to be allocated to the designated revenue classification.
  10. Enter the appropriate Revenue Classification.
  11. If needed, modify the Admin Charge and Gratuity percentages that need to be applied to this amount of the event price. These values default from the selected revenue classification.
  12. If you do not want the total package attendance to apply to the event, clear the Apply Package Attendance checkbox. Then enter the appropriate attendance in the fields on this page.
  13. Click Save.

To associate an event to a package using the Booking Events grid

  1. Click the Booking Packages column to activate the list, and then select the package to associate.
  2. Click Save.

    The event is assigned the package attendance for that day. If the event has existing attendance numbers, they are treated as non-package attendance and are added to the assigned package attendance. For example, if an event already has an agreed attendance of 10 and the package attendance is 20, the Agreed field displays 30. When you click View next to the event, the non-package agreed attendance is 10.

  3. Click View next to the event to open the Booking Event page.
  4. In the Package Attendance section, click the booking package to open the Booking Package Event page.
  5. In the Event Package Revenue Breakdowns section, click New Event Package Revenue Breakdown.
  6. In the Unit Price field, enter the amount of the event price that needs to be allocated to the designated revenue classification.
  7. Enter the appropriate Revenue Classification.
  8. If needed, modify the Admin Charge and Gratuity percentages that need to be applied to this amount of the event price. These values default from the selected revenue classification.
  9. If you do not want the total package attendance to apply to the event, clear the Apply Package Attendance checkbox. Then enter the appropriate attendance in the fields on this page.
  10. Click Save.

To associate an event to a package using the Edit Multiple Events window

  1. In the Booking Events grid on the Booking page, click Manage Events.
  2. Select each event you want to associate to a package, and then click Edit Multiple.
  3. In the Booking Package list, select the appropriate package, and then click Update.
  4. Click Save to save your change, and then close the Manage Events page.
  5. In the Booking Events grid, click View next to one of the events you associated with a package.
  6. In the Package Attendance section, click the booking package to open the Booking Package Event page.
  7. In the Event Package Revenue Breakdowns section, click New Event Package Revenue Breakdown.
  8. In the Unit Price field, enter the amount of the event price that needs to be allocated to the designated revenue classification.
