Create bookings from inquiries
When your client requests a proposal or contract, you can create a new booking from the inquiry. After you save the booking, it displays in the Booking section of the Inquiry page.
If your property integrates with MeetingBroker, you need to follow different instructions to create a booking from an RFP inquiry. See Create a booking from a MeetingBroker RFP.
To create a booking from an inquiry
- From the Inquiry page, click Create Booking. The Create Booking from Inquiry page displays.
- An account is required to convert an inquiry to a booking. Do one of the following:
- Select an existing account and contact. The new booking is automatically associated with those records.
- If the account does not already exist in the system, enter a temporary account and contact. The records are then created and associated with the booking.
After you select an account, you can only select contacts that already exist on that account or create a new contact. You can select a contact from a different account, if needed, on the booking record.
- If applicable, do one of the following:
- Select an existing agency and agent. The new booking is automatically associated with those records.
- If the agency does not already exist in the system, enter a temporary agency and agent. The records are then created and associated with the booking.
After you select an agency, you can only select agents that already exist on that agency or create a new agent. You can select an agent from a different agency, if needed, on the booking record.
- Select a different Booking Owner if needed.
- If the property integrates with a PMS, enter the PMS ID/Group Code for room blocks on the booking. This information is required to proceed with the conversion process.
- Under Room Type Allocation, select the Room Type and edit the number of rooms as needed.
Click Availability to verify which rooms are available for the requested dates.
- Click Create Booking. The new booking displays in Prospect status, and the status of the inquiry is automatically changed to Qualified.
- Edit the booking details as needed.
