View inquiry details

The Inquiry page displays the inquiry details and lets you create a booking from the inquiry, clone the inquiry, and add activities. If you are the inquiry owner, you can also edit the inquiry details, add notes and attachments, and delete the inquiry.

A variation of this page is used for inquiries that originated as MeetingBroker RFPs. See Open inquiries created from RFPs.

To help you work with your inquiries, the Inquiry page is divided into the following areas:

Information Displays general information about the inquiry, including the following:
Status
  • Qualified - A booking has been created from the inquiry. This is an automatic status that is assigned to the inquiry once the new booking has been saved.
  • Open - The inquiry has been created but no details have been added (default).
  • Turn Down - You or the client will not be pursuing the inquiry.
  • Working - Details are being added to the inquiry.
  • Lost - The business has been lost to a competitor.
RatingIndicates the likelihood the inquiry will materialize into future business.
DUNS NumberIf your property is integrated with Dun & Bradstreet and the inquiry's account matches an account in the D&B database, a DUNS number is displayed. DUNS stands for Data Universal Numbering System, a unique nine-digit identifier assigned to a business entity by Dun & Bradstreet. This number is universally recognized as a way to track and learn about a business.

If your property is not integrated with Dun & Bradstreet but you know the DUNS number for the account, you can manually enter it in this field.

PropertyIf you created the inquiry from an account, the account's property is displayed. Otherwise, select the appropriate property for the inquiry. Only properties you have access to are displayed.
Booking TypeSelect the value that further describes the potential business (for example, Social, Wedding, or Conference).
Lead SourceIndicates how the business learned about your property.
OwnerThe name of the user who created the inquiry. If you are the owner, you can assign ownership of the inquiry to another user.
Select Contact & Account When an existing account and contact have been selected for the inquiry, those records are displayed here.
Temporary Contact & Account When a new account and contact have been entered for the inquiry, that information is displayed here. If a booking is created from the inquiry, new records are created using this account and contact information.
Guestroom Information Displays the estimated number of rooms, rate, and revenue for the inquiry. This information is not used to take rooms out of inventory or calculate guestroom revenue on the booking; however, the peak roomnight information is used to create the room pattern.
Event Information Displays the estimated number of event days and event revenue for the inquiry. This information is not used to block function space or forecast event revenue on the booking.
Booking Displays the booking that was created from the inquiry.
Activity (Open Activities) Displays the outstanding tasks and events (meetings or appointments) that have been created for the inquiry. Once a task has been completed or an event has occurred, it is moved to the Activity History section. See Overview: Activities.
Activity History Displays logged calls, sent emails, and other completed tasks and events associated with the inquiry. See Overview: Activities.
Notes & Attachments If you are the inquiry owner, you can add, edit, and delete notes and attachments that provide additional information about the record.
Inquiry History Displays an audit trail of changes made to the inquiry, including the date the change was made, the user who made the change, and the action that was performed. Once a document has been merged from the inquiry, a copy of the document is added as an attachment.
