View RFP inquiry details
This page is used for inquiries that originated as MeetingBroker RFPs. For inquiries that were manually created, see Open inquiries.
When you integrate with MeetingBroker, RFPs can be sent to your property from any channel in your MeetingBroker subscription. When you receive one of these RFPs, the system creates an RFP inquiry. The inquiry is assigned to the appropriate sales manager based on the assignment rules set up in MeetingBroker.
An email notification is sent when you are assigned as the owner of an RFP inquiry. To open the inquiry, click the link provided in the email. You can also open the inquiry by doing one of the following:
- Navigate to Inquiries and select one of the default RFP views. Those inquiries awaiting action have a status of Open.
- Find the inquiry by entering the MeetingBroker RFP ID in the Search field at the top of any page. Then, click the inquiry name. You can also search for other meeting information in the RFP, such as the group's arrival date, the sending location, and the receiving property.
Some information provided by the sender does not display in the inquiry, including exact guestroom and event requests and agency details. Always click View Recap at the top of the Inquiry page, to view all the information.
The page includes several areas. Select your Salesforce experience for further details.

Inquiry Name | This is the name of the meeting. |
Status | The values for this field are as follows: Open - The inquiry has been created but no details have been added. Working - Details are being added to the inquiry. Qualified - The inquiry has been converted to a booking. This is an automatic status that is assigned to the inquiry after the new booking has been saved. Turndown - The inquiry is declined. Lost - The business has been lost to a competitor. If the status is changed to Turndown or Lost, it cannot be changed back to an active status. A new RFP needs to be submitted from the sender. |
Rating | This value indicates the likelihood of the inquiry becoming future business. |
Type | This indicates the type of business. |
Sender | This is the planner who sent the RFP to your property. |
Sending Location | This is the location where the RFP originated. |
Property | This is the name of the receiving property. |
Booking Type | This value further describes the potential business, for example, Social, Wedding, or Conference. |
Lead Source | This indicates how the business learned about your property. |
Owner | This is the name of the user assigned to the inquiry. If MeetingBroker cannot find the inquiry owner, it assigns the inquiry to the user listed in the Default Lead Coordinator field on the Property page. |
Meeting Information | |
Meeting Information | This displays the booking details. This information is used to create the booking's room block and events. The booking owner enters the room block rates and the name of each booking event. Each event also needs to be moved from the Unassigned function room to an available room. See Create bookings from RFP inquiries. |
Company Information | |
Company Information | This is the account information. If a booking is created from the inquiry, the system looks for a matching account and associates it with the new booking. If a matching account does not exist, one is created using the information provided in the inquiry. |
Contact Information | |
Contact Information | This is the meeting contact information. If a booking is created from the inquiry, the system looks for a matching contact and associates it with the new booking. If a matching contact does not exist, one is created using the information provided in the inquiry. The contact is then associated with the booking and the booking's account. |
Agency Information | |
Agency Information | This is the agency information. If a booking is created from the inquiry, the system looks for a matching agency and associates it with the new booking. If a matching agency does not exist, one is created using the information provided in the inquiry. |
Agent Information | |

RFP History | These values are the transactions and notifications from MeetingBroker that relate to the inquiry. If any attachments were sent with the RFP, they also display here. |

Booking | This displays any bookings that were created from the inquiry, or manually linked to the inquiry. |
Open Activities | |
Open Activities | This displays the outstanding tasks and events for the inquiry. If your property is using the RFP activities feature, your open tasks can also include MeetingBroker notifications. After a task is complete, or an event occurs, the activity moves to the Activity History section. See Overview: Activities. |
Activity History | |
Activity History | This displays logged calls, sent emails, and other completed tasks and events associated with the inquiry. If your property is using the RFP activities feature, your completed tasks can also include MeetingBroker notifications. |

Notes & Attachments | This displays any merged documents from the inquiry. |
Inquiry History | |
Inquiry History | This is an audit trail of changes made to the inquiry. This includes the date the change was made, the user who made the change, and the action performed. |

DUNS Number | If your property integrates with Dun & Bradstreet (D&B) and the inquiry's account matches an account in the D&B database, a DUNS number displays. DUNS stands for Data Universal Numbering System, a unique nine-digit identifier assigned to a business entity. This number is universally recognized as a way to track and learn about a business. If your property does not integrate with Dun & Bradstreet but you know the DUNS number for the account, you can manually enter it in this field. |
