View RFP inquiry details

When you are integrated with MeetingBroker, RFPs can be sent to your property from any of the channels in your MeetingBroker subscription. When you receive one of these RFPs, it creates an RFP inquiry and assigns it to the appropriate Sales Manager (based on the assignment rules set up in MeetingBroker).

You'll receive an email notification when you have been assigned as the owner of an RFP inquiry. To open the inquiry, click the link provided in the email. You can also open the inquiry by doing one of the following:

There are two versions of the Inquiry page: one for inquiries that originated from MeetingBroker RFPs and another for inquiries that were manually created. The table below describes the fields on the RFP Inquiry page. For information about the default Inquiry page, see Open inquiries.

Some of the information provided by the sender is not displayed in the inquiry, like exact guestroom and event requests, and agency details. To view all of the information, always click the View Recap button at the top of the Inquiry page.

Inquiry Detail
Inquiry Name The name of the meeting.
Status Open - The inquiry has been created but no details have been added (default).

Working - Details are being added to the inquiry.

Qualified - The inquiry has been converted to a booking. This is an automatic status that is assigned to the inquiry once the new booking has been saved.

Turn Down - The inquiry will not be pursued.

Lost - The business has been lost to a competitor.

Rating Indicates the likelihood the inquiry will materialize into future business.
Type Group & Event, Group, or Event
Sender The planner who sent the RFP to your property.
Sending Location The location where the RFP originated.
Property The name of the receiving property.
Owner The name of the user assigned to the inquiry (typically via a MeetingBroker assignment rule).

If MeetingBroker is unable to find the inquiry owner (for example, the user's email address has been changed or the user was retired in one system but not the other), it will automatically assign the inquiry to the user listed in the Default Lead Coordinator field on the Property page.

Lead Source Indicates how the business learned about your property.
Booking Type Further describes the potential business (for example, Social, Wedding, or Conference).
Meeting Information The booking details. This information is used to create the booking's room block and events. The booking owner is responsible for entering the room block rates and the name of each booking event (by default, the booking events are named "Event 1", "Event 2", and so on). Each event must also be moved from the Unassigned function room to an available room. See Create bookings from RFP inquiries.
Company Information The account information. If a booking is created from the inquiry, we will look for a matching account and associate it with the new booking. If a matching account does not exist, we will create one using the information provided in the inquiry.
Contact Information The meeting contact information. If a booking is created from the inquiry, we will look for a matching contact and associate it with the new booking. If a matching contact does not exist, we will create one using the information provided in the inquiry. The contact will then be associated with the booking and the booking's account.
RFP Information For information about these fields, see the MeetingBroker Help. You can use the MeetingBroker RFP ID to search for the inquiry.
Questions & Additional Info Submitted by the meeting planner in MeetingBroker.
RFP History Transactions and notifications from MeetingBroker that are related to the inquiry (for example, New RFP). Additionally, if any attachments were sent with the RFP, they are listed here.
Booking Displays any bookings that were created from the inquiry, or manually linked to the inquiry.
Activity (Open Activities) Displays the outstanding tasks and events (meetings or appointments) that have been created for the inquiry. If your property is using the RFP activities feature, your open tasks may also include MeetingBroker notifications (for example, RFP Updated or RFP Awarded). Once a task has been completed or an event has occurred, it is moved to the Activity History section. See Overview: Activities.
Activity History Displays logged calls, sent emails, and other completed tasks and events associated with the inquiry. If your property is using the RFP activities feature, your completed tasks may also include MeetingBroker notifications (for example, RFP Updated or RFP Awarded). See Overview: Activities.
Notes & Attachments Any documents that are merged from the inquiry are listed as attachments here.
Inquiry History Displays an audit trail of changes made to the inquiry, including the date the change was made, the user who made the change, and the action that was performed.
