RFP activities

If you’re like most Sales Managers, you’re no stranger to multi-tasking and tight deadlines. Effectively managing your RFPs is a critical part of this process.

Using the RFP activities feature, you can monitor your RFPs from one central location—your Home page. Instead of sifting through dozens of inquiries and bookings—or checking your email for MeetingBroker notifications—you can just look at your Home page to see which RFPs have been updated, cancelled, withdrawn, or awarded. This makes it incredibly easy to track and follow up on your leads in a timely manner.

You must be using R23 or higher to take advantage of this feature.

RFP activities are created based on notifications that are sent from MeetingBroker. You decide which notifications you want created as activities using the Amadeus User Settings page. These activities can be copied to the associated inquiry, booking, or both—it’s completely up to you.

Some of the RFP activities assigned to you will be for informational purposes and won’t require any action. You can keep those tasks out of your queue on the Home page by selecting the Mark Complete option on the Amadeus User Settings page. Keep in mind that your Home page just displays open tasks, so the only way you’ll be able to view completed ones is by looking at the Activity History section of the inquiry and/or booking.

Other times, you may want your RFP activities to appear as open tasks on your Home page. This helps you monitor the current state of each RFP and determine if any actions need to be taken. For example, if an RFP has been updated with new roomnight requirements, you may need to confirm availability before sending a proposal. Because this task requires action on your part, you shouldn't select the Mark Complete option on the Amadeus User Settings page. That way, you’ll see it on your Home page and in the Activity (Open Activities) section of the inquiry and/or booking.
