Turn down RFP inquiries

If you are unable to bid on a piece of business that came to your property from MeetingBroker, you need to turn down the RFP inquiry. Based on your property's settings in MeetingBroker, an automatic email message can be sent to the meeting planner. Your MeetingBroker location administrator can control this setting on the Location General page in MeetingBroker.

If the lead came from a channel with a response portal, such as Cvent, the status is updated for you. You do not need to log in to their website to update the status.

Turning down an inquiry satisfies the assignment rule escalation.

After the status is changed to Turndown or Lost, it cannot be changed back to an active status. A new RFP needs to be submitted from the sender.

To turn down an RFP inquiry

  1. Open the inquiry.
  2. Click Turndown & Reply. The Turndown RFP page displays.
  3. Select the Lost Business Reason. The reason is sent back to Cvent, Groups360, SpeedRFP, SignUp4, Venue Directory, 1000Meetings, CVBs, and Central Sales.
  4. In the Message field, enter your comments. With version R40 or higher, these comments are sent back to Central Sales and Cvent. For RFPs from other channels, the comments are sent back to MeetingBroker, but not forwarded on to the sender.
  5. Click Turndown.
  6. Click Save.
