Send proposals from RFP bookings

When you are ready to bid on an RFP inquiry that is sent to your property from MeetingBroker, you can send a proposal to the meeting planner. You can receive leads from different channels, for example, Cvent. Because each channel’s website is uniquely designed, the steps for responding can vary. Your process for sending a proposal also depends on whether your property uses Cendyn’s eProposal or the MeetingBroker proposal. Depending on your MeetingBroker policy, sending a proposal can satisfy escalation on the inquiry.

To send a proposal

  1. On the Booking page, click Send Proposal.

    Make sure the booking is fully detailed before you click Send Proposal. Most of the booking data only uploads the first time you click Send Proposal. Any updates you make to the booking after that require you to manually enter them in both your booking and your proposal.

  2. Your next step depends on which channel sent the lead and whether MeetingBroker is integrated with eProposal.
    • If the lead came from a channel that collects proposal data, and MeetingBroker and eProposal are integrated, the Choose Proposal page displays. Do one of the following:

      • To upload information to the channel's website, select the <Channel Name> Response option. Depending on the channel, either the channel's response page or the MeetingBroker proposal page displays. If the channel's response page displays, follow the instructions to complete the required information and submit the proposal. You are now finished. If the MeetingBroker proposal page displays, proceed to step 3.
      • To send an eProposal to the channel, select the eProposal Response option. The Edit eProposal page displays. Complete any additional information in the eProposal and click Send. If you send only an eProposal, you do not have access to the meeting planner's questions and your proposal data is not uploaded to the channel's website. Amadeus recommends that you always select the Channel Response option first, and then send an additional eProposal, if necessary. You are now finished.
    • If the lead came from a channel that does not collect proposal data, and MeetingBroker and eProposal are integrated, the Edit eProposal page displays. Complete any additional information in the eProposal and click Send. You are now finished.
    • If MeetingBroker and eProposal are not integrated, the MeetingBroker proposal page displays. Proceed to step 3.
  3. In the Proposal Details section, provide the information such as commission, alternate start date and expiration date.
  4. In the Guestroom and Event Requirements section, add the relevant quantity, rates, and comments.

    For any package bookings, ensure the rates match the package prices. Alternatively, you can remove them by entering '0' (zero) in the revenue fields and placing the quoted price in the comment boxes.

  5. Click the Questions tab. If this RFP has questions, enter your responses.
  6. Click Save.
  7. Click Proposal.
  8. Click Send. The Message for Proposal window displays.
  9. Detail the recipients of the proposal, the email text, and the attachments.
  10. Click Submit.

If the lead came from a channel that collects proposal data, the booking details and answers to the planner's questions are uploaded to the channel's response page. You do not need to access their website directly. If the lead came from a channel that does not collect proposal data, an email message with a link to the proposal is sent to the planner.
