RFP business cycle
When MeetingBroker integrates with Delphi, information is sent between the two systems. The following steps describe the cycle:
- The meeting planner enters meeting requirements into the channel's RFP form and selects your property as the recipient.
- MeetingBroker reviews the meeting requirements and assigns the RFP owner based on the location assignment rules at the property.
- MeetingBroker sends the meeting requirements to Delphi, and an RFP inquiry is created. The RFP owner is assigned as the owner of the inquiry.
If MeetingBroker cannot find the inquiry owner in Delphi, it assigns the inquiry to the user listed in the Default Lead Coordinator field on the Property page.
- The inquiry owner receives one of the following email notifications:
New RFP - This email is sent from MeetingBroker when the RFP owner is identified from a location assignment rule. The email is sent before the inquiry is created.
- New Inquiry - This email is sent from Delphi after the inquiry is created and assigned to the appropriate owner. The email is triggered by a process configured by an administrator.
- The inquiry owner does one of the following:
- Creates a booking from the inquiry to bid on the business and sends a proposal.
- Confirms receipt of the inquiry if more time is needed to evaluate the business.
- Turns down the inquiry when unable to bid on the business.
- Assigns the inquiry to a different user. MeetingBroker displays the new RFP owner and reassigns the appropriate email notifications. This communication between the two applications requires the email address of the new owner to match the email address of a user in MeetingBroker.
- All booking changes are sent back to MeetingBroker as business data.
Some properties do not use assignment rules to route incoming RFPs. In this case, you can use the RFP views on the Inquiries tab to see inquiries that were created. Those inquiries with a status of Open are still awaiting action.
