Item Inventory report

The Item Inventory report helps you determine item availability by displaying the current inventory during a selected date range and time frame. For example, you may have five LCD projectors, two pianos, and 50 iPads available for events held at your property. On May 5, the LRB Communications Board Meeting will be using one LCD projector and 10 iPads from 10:00 AM - 4:00 PM. When you run the Item Inventory report for May 5, you will see that four LCD projectors and 40 iPads are available for other events during that time frame.

By default, the report will display all items whose inventory is being tracked at the property. However, you can choose to view only those items that are out of inventory during the selected time period. This will allow you to make the necessary adjustments prior to an event to ensure that the group's requirements are met.

An item's configuration in Setup determines whether or not its inventory will be tracked at the property.

Prior to running the Item Inventory report, you should use the Unassigned Events report to determine which events still need to be placed in function rooms. Once an event begins blocking space, its events are taken out of inventory. You can then run the Item Inventory report to get an accurate representation of the item's inventory during that time period.

To run the report

  1. Navigate to Amadeus Reports.
  2. Under Event, click Item Inventory Report.
  1. Complete the report criteria.
    Item Start Date /Item End DateSpecify the date range you want to report on item inventory.
    Item Start Time/Item End TimeSpecify the time frame you want to report on item inventory.
    PropertySelect the property whose item inventory you want to report on. Your default property is selected by default.
    ItemsDisplays the items whose inventory is being tracked at the selected property. Select those items you want to report on (by default, all are selected).
    Only Display Out of Inventory Items

    When selected, the report will only display those selected items that are out of inventory during the defined period. This includes items that have been oversold as well as those whose inventory is 0.

    When cleared (default), the report will display the current inventory for all selected items during the defined period.

  1. Click Generate Report to view the report on-screen or Generate PDF to view the report as a PDF file that you can save or print.

    PropertyThe name of the property whose item inventory you're reporting on.

    When the report is set to generate results for a single day, it displays the quantity available for that specific day.

    In contrast, when the report is set to cover a longer time frame, such as a week or a month, it displays the lowest available quantity on any individual day within the specified duration. This helps you identify any potential shortages in your inventory.

    Furthermore, should you encounter a negative number, it indicates that you have sold more units than were actually in stock. For instance, if you initially had 5 microphones in stock and used 7 for a sales meeting, running the report would display an On Hand value of -2.0.

    ItemClick the link to view the item details. If you are an administrator, you can edit the details; otherwise, this page is read-only.
    InventoryThe top-level row displays the total inventory of that item at the property. Each subsequent row displays the item quantity being consumed by a particular event during the defined period.
    Booking EventThe name of the event using the item. Click the link to view the event details. If you are sourced on the booking, you can edit the event; otherwise, this page is ready-only.
    Serve Start/Serve EndThe date range and time frame the item is in use.
