Bulk delete bookings

This feature is available with version R57 and higher, and it is not enabled by default. This feature requires an approval process to ensure that only authorized administrators can access it. Corporate administrators, see Enable property object retention for enablement instructions.

The bulk booking delete capability is designed to help reduce data storage costs by deleting historical bookings along with their associated data.

To bulk delete bookings

  1. Navigate to Amadeus Settings.

  2. In the System Setup and Configuration Settings, select Configure Property Object Retention.

  3. Use the available filters or enter the property name into the search field, then select Go to find the property.

  4. For the applicable property, in the Booking column, click Edit (Icon of a pencil). The Edit: Booking page displays for the selected property.

    To delete bookings from multiple properties, select the applicable properties and then click Multi-Edit Booking Purge. The Edit: Booking page displays for the selected properties.

  5. Select Enable Purge (Booking).

    By proceeding with the Bulk Booking Delete capability, you will permanently delete all selected bookings and their associated records (including but not limited to events, room blocks, packages, activities, BEOs, and attachments) from your system, with no option for future recovery. You fully acknowledge and accept the significant impact this action may have on your overall product, including but not limited to custom solutions, reporting, and historical data functionalities that depend on these records.

  6. Complete the fields on this page as appropriate.

    Each change in configuration is logged for security purposes.

    Edit: Booking details

    Retain Years By Departure Date

    This is the number of years of booking records to keep. By default, this field is set to five years. This value can be modified to meet the property's reporting needs.

    The purge feature has a minimum retention range of three years, ensuring that at least three years of booking records are preserved for reporting purposes.

    Purge Criteria (Booking)

    The purge is user defined. After you set the purge criteria, you need to select which bookings to include in the purge. See below for further details.

    This field cannot be modified.

    Purge Days (Booking)

    The days in the Chosen list indicate which days of the week the purge can run. By default, all days of the week are selected.

    Large purges might take multiple days to process.

  7. Click Save to save your changes.

  8. Click Select Bookings to Purge. The Select Bookings to Purge page displays with the following information:

    Pending Purge Count (Booking)

    This is the number of bookings already selected to be included in the next purge. Up to 10,000 bookings can be pending, per property, at a time.

    To hide these bookings from the list, select Hide pending bookings from view.

    Booking post as

    This is a link to the booking. You can click the link to open the booking in a new tab to review the booking details.

    Arrival This is the arrival date of the booking.
    Departure

    This is the departure date of the booking.

    A filter is available to view bookings that departed during a specific year.

    Status

    This is the status of the booking.

    A filter is available to view bookings with a specific status.

    Account

    This is the account associated with the booking.

    Owning user

    This is the user who owns the booking.

    A filter is available to view bookings with a specific owning user.

  9. Select the bookings to purge.

  10. Do one or more of the following: 
    • Click Save to save your changes.
    • Click Save & Close to return to the Edit: Booking page.
    • Click Close to discard your changes.
    • Click Reset Pending Bookings to clear all checkboxes and reset the Pending Purge Count (Booking).
    • Click Export CSV to export a list of the bookings included in the Pending Purge Count (Booking).
  11. Back on the Edit: Booking page, click Save & Close to return to the Configure Property Object Retention page. The status of the property’s Booking purge is now Active.
