These release notes describe new features and fixed issues in the 2019 releases of Sales & Event Management - Standard & Essentials. To schedule a complimentary update to the latest version, Contact Support.

Reports—no upgrade required
(CR0132657): When you select All Users in the report criteria, inactive users are also included in the following reports:
- Productivity
- Guestroom Pace
- Productivity Verification
- Guestroom Pace Verification
Their data will only display if it meets the other selected report criteria.

New features
- Activity goals and enhanced activity report. We know you're busy—and now you can show it! Are you required to complete a certain number of prospecting calls or entertainment appointments each month? In the new Activity Goals section of Setup, administrators can enter the weekly, monthly, or quarterly number of activities for each sales manager by type. As activities are entered, progress towards meeting the goals can be viewed using the Activity report.
- Inactive accounts. You can now clean up your accounts by setting them to inactive. Whether it’s a duplicate account or simply an account you’re no longer prospecting, make the account inactive to remove it from search results and display gray in type-ahead fields. To make an account inactive, click the Additional Details tab on the Account page, clear the Active check box, and then click Save. Don’t worry, nothing will be deleted. You can find inactive accounts by selecting the Include Inactive Accounts check box on the Accounts Search page.
- Event budgets for pace reporting. In the last release, we introduced guestroom budgets. Now you can also add an event budget for each month and compare it to your definite bookings using the Guestroom and Catering Pace report. Administrators will see a new column for event revenue in the Budgets section of Setup. Just add that information and you're ready to go.
- Volume contracts. Not only can you enter LNR business, but you can now generate a contract—yay! To get started, an administrator needs to enter your property’s terms in the Document Options area of Setup. Once that’s complete, the team can start merging contracts by clicking the Print button on the Volume contracts page. Each time you create a document, it’s automatically added to the new Document section at the bottom of the page. What’s especially nice is that you can upload your own attachments. No more searching for the signed contract—attach it here and you’re done. Everything you need, right where you need it.
- Volume Contract Account Production report. Similar to a GRC for group bookings, the Volume Contract Account Production report provides a quick view into the actual vs. forecasted numbers. Each account is listed with totals by month and a grand total for the date range you enter.
- Volume contract lead source. Keeping track of how you obtain your customers is essential for marketing and budget analysis. Now you can track that information for volume contracts using the Lead Source field in the Additional Details tab.
- Contact department. There's a new Department field on the Contact page.

New features
- Manage property setup values and event classifications. We populate the system with the industry’s most common market segments, lead sources, and other picklist values. This spares you from taking on the tedious task of configuring each and every option. But we know that one list does not fit all. So, if you’ve been wanting to add "No Swimming Pool" as a lost business reason—now you can! Or if your property is not in a city, you can change the Citywide booking type to inactive so it doesn't display in your picklist anymore. Under Setup, select the new Setup Values option, and update as needed. Good news, we didn’t forget about event classifications, you can now add those too.
- Guestroom budgets for pace reporting. When your General Manager asks if you're on target to make the group guestroom budget this month, you'll be able to provide the exact details in a matter of minutes. There's a new Budgets section in Setup where property administrators can enter the number of definite room nights and the definite average rate you need to consume each month to make the group budget. Then when you run the Guestroom Pace report, it will show a monthly comparison of the definite bookings and the budget.
- Deactivate function rooms and guestroom types. (CR0131660, CR0131662) If your property undergoes renovations, you might need to make changes to your list of function rooms or guestroom types. If all of the Junior Suites were converted to conference rooms, you can change the Junior Suite guestroom type to inactive. Inactive guestroom types no longer display when a new room block is created, but they will still display in existing room blocks. Inactive function rooms no longer appear in the diary or in the picklist on new events, but will still display in existing events.
- Monthly Revenue & Guestroom Summary report. How much money is on the books for next month? Run this new report to see all of your group booking and volume contract revenue totals. Using the report criteria, you can slice and dice the data to include exactly what you need—events, group guestrooms, volume contract guestrooms, specific market segments, and more.
- Market Segment field for volume contracts. You can now select a market segment on a volume contract. When running the new Monthly Revenue & Guestroom Summary report, you have the option to group the data by volume contract market segment or account market segment.
- Document Options. You asked for more control over your contracts and now you've got it. This release includes an overhaul of the Document Options section in Setup and includes the following new features.
- New contracts. Sometimes you need a large, detailed contract and sometimes you don't. The following types of contract templates are now available:
- Full - for large properties or groups that require more terms and details.
- Express - a short contract for small groups or social business.
- No ROH - if your property does not use the Run of House (ROH) guestroom type, these documents remove the ROH row from the guestrooms table.
- Option to make templates inactive. We want you to have options, but we don't want you to be annoyed by the things you don't use. You can now select which templates you want to use. For example, if your property only wants to use the express contracts, you can make the full contracts inactive. When you open the Print Booking page, the inactive templates won't display - goodbye clutter.
- Custom text sections. Before, there was one Custom Text section for all documents. The text fields have now been separated into three sections: Proposal, Contract, and BEOs. This makes it quick and easy to find what you need.
- More custom text fields. You can now enter custom terms for each type of contract. This saves your team from having to remove event terms from a guestrooms only contract and vice versa.
If you had text in the Contract Terms field prior to R35, that field is now labeled Terms - Rooms & Events Full, and will only merge into the full rooms and events contracts. If you want to use the other new contracts, make sure you copy and paste the applicable terms in for the other versions.
Fixed issues
CR0121184, CR0131623: Merged documents no longer display HTML code.
CR0121644: The booking contact name defaults when you create a new activity from the Booking page.
CR0131924: The Activity report will now display all account activities for orgs with public Account Security.
CR0132065: Deleted activities no longer display in the Activity Report.
CR0131979, CR0090772: Amadeus Sales &Event Management is now compatible with Salesforce's State & Country Picklist feature. Corporate administrators who choose to enable the feature must follow the Salesforce procedures.
April 30, 2019 (R34)
New features
- Create Volume Contracts from accounts and contacts. We've improved the workflow for creating volume contracts by adding a new + Volume Contract button in the Volume Contract tab of the Account and Contact pages. When created this way, the volume contract is automatically linked with the account and contact, which saves time and steps.
- New Users menu. We've added a shortcut to make it easier for administrators to manage users. Click your name in the top-right corner of the page, and then click Users.
- Document Options section added to Setup. There's a new Document Options section under Setup. This provides one central location for administrators to upload your property logo and enter custom text to be included in BEOs, contracts, and other documents.
April 2, 2019 (R33 P1)
New features
- Linking to accounts and contacts. It’s common to have multiple accounts or contacts with similar names. But, this makes it tricky to know which one to link to a booking or activity. To help remedy the situation we’ve added a bit more information to the search results. Under the account name, you’ll now see the account’s address. And when linking to a contact, you’ll now see the associated account and address.
- Quick Launch buttons. We’ve added more Quick Launch buttons to make it easier for you to access the information you need when you need it. For example, after you’ve selected the account and contact on a booking, you can open them using the new Quick Launch button next to each field.
- New reports. Keeping up with your progress for making budgets and goals has never been easier with these three new reports.
- Productivity - provides a total of definite activity for each booking owner.
- Productivity Verification - lists each booking that had definite activity in the productivity report.
- Guestroom Pace Verification - lists each booking that had definite activity in the guestroom pace report.
Fixed issues
CR0131916: Properties with a large number of BEO items will no longer experience an Apex CPU timeout.
January 31, 2019 (R32)
New features
- Property logo. On the Property page, you can now upload a property-specific logo. The logo will automatically display in documents such as contracts, BEOs, and banquet checks.
- Autotraces. As a busy sales and catering professional, you're always managing a million details. To help lighten your load, we've added seven new autotraces—this saves you from having to manually create standard tasks, such as call for the final guarantee, request the rooming list, etc. Property administrators will see a new Autotraces option under the Setup menu. Use this option to customize each autotrace as needed or set them to inactive.
- Group resume. The Group Resume has long been used to communicate instructions to all departments to prepare for a group's arrival. To help streamline this process, we've added a Resume tab, with seven new fields, to the Booking page. The information you enter will print on the new Group Resume document.
- Refresh application settings. A new Refresh Application Settings option has been added to the Admin page. This allows corporate administrators to get the latest copy of document templates and autotraces. If you've already customized your autotraces, they will not be overwritten. Typically, you'll only need to use this option when instructed to do so by an Amadeus representative.
- Guestroom Pace report. We're continuing to add new reports and in this release we've added the Guestroom Pace report. Use the Guestroom Pace report to compare definite room, rates, and revenue to last year's actuals. Guestroom Pace report
- Daily Events report. This report shows you at-a-glance each event that is in house on a particular date. It includes similar information to the Function Diary, but in a list format. Be sure to share this report with your Operations team. Daily Events report
- Multiple modules. Amadeus Sales & Event Management now has three modules - Advanced, Standard, and Essentials. As of R32, we support having these modules in one org (application). This allows shared sales teams to book business across the portfolio and centralizes reporting. What does this mean to you? If you are working in a multi-module environment you'll see custom corporate setup values.
Fixed issues
CR0131547: Account and Contact fields have been updated to remove the 500 record search limit. This resolves issues related to linking to accounts and contacts.
CR0131774: BEO Comments will now save and print correctly on the BEO.
