Manage users
The Users Editor enables you to create and manage Delphi Diagramming user accounts. Selecting a user role controls which areas of the system a user can access and the actions they can perform. To help you decide which one is suitable, here's an explanation:
Diagramming User: Ideal for team members, such as your sales and catering team, who use Delphi Diagramming Property Edition to design room plans for events. This role does not provide access to any of the editors.
Web Admin: Great for those responsible for configuring Delphi Diagramming Website Edition, that manage your property details, and upload media (photos, virtual tours, and videos). This role grants rights to all areas except the meeting space editor —making this a powerful profile.
Property Admin: Perfect for leaders of your team who are responsible for the daily management of your system to keep everything running smoothly. This role grants rights to edit resources, meeting space details, and your property details.
To grant an administrator the rights to manage users, select the User Management check box.
Read Only: Users with read only access can view and print diagrams but cannot edit or create them. They also cannot change booking or event information. These users may be operational and banquet staff responsible for setting up or running the event on the day.
To enhance security measures, administrators with the User Management role are required to use Multi-Factor Authentication (MFA) during the login process.
Diagramming users don't require any of the admin options to create bookings, events, or room plans.
To access the Users Editor, do one of the following:
- From the Content Management Home page, click Editors and then Users.
- From the Delphi Diagramming home page, click your name in the upper-right corner of the page, and then click Manage Users.
The users are displayed in alphabetical order by first name. To quickly locate an existing user, type the name, or email address in the search bar and click Search .
When editing users, work on your laptop or full workstation. The Users Editor is not optimized for mobile devices (such as tablets).
The status next to a user's name reflects their standing in Delphi Diagramming, which isn't always the same as their status at a particular property. To help you understand the different statuses, here's an explanation of each:
Active: The user is active in Delphi Diagramming, but they may not have permissions set at their property. Click on the user to verify permissions are active, for the desired property, and that a role has been chosen.
Inactive: The user is unable to log into Delphi Diagramming even if they have active permissions to a property. A Property Admin can grant them access to the system again. See below for how to unlock a user.
Locked: The user has been locked out of Delphi Diagramming, but a Property Admin can easily unlock their account. See below for how to unlock a user.
Password expired: The user's password has expired. They can click on the forgot password link, on the login page, to reset it.
Not registered: The user has not completed the new user registration steps. To do this, the user needs to click on the Get Started button within their welcome email. Once their chosen password has been set, the status will change to Active. The Property Admin can re-send this email by clicking Re-send Welcome email
- Click +Add User.
- Enter the user's Email.
If the user already exists in the system, their details are automatically filled in for you
- Enter the First Name, Last Name, and Title.
- Select the property under Property Name.
- Select the relevant role under User Roles.
Select both options for users that will administer both Property Edition and Website Edition.
- Click Save.
To give users access to multiple properties, select the property under Add Property field and the relevant role next to it.
- The user will receive a Welcome to Delphi Diagramming! email message from Delphi Diagramming User Management <hospitality.no-reply@amadeus.com>. Verify this email address will pass through your email spam filtering. The new user must click the Get Started button within 7 days of receipt of their email to complete the registration process, otherwise the user account must be reset by a Property Admin. Refer to New User Registration for the process that each new user must complete once they receive their welcome email.
Not Registered displays next to users that have not completed the new user registration steps. To do this, the user needs to click on the Get Started button within their welcome email. Once their chosen password has been set, the status will change to Active.
- Click on the user line or the Edit button .
- You'll see the editable user's details.
- Change the user's roles as appropriate.
- Click Save.
You can either remove permissions to access the property or remove the ability to access the system entirely. Which one you choose depends on the circumstance.
When someone leaves, the first thing you'll want to do is prevent them from logging in.

Point to a user and click Deactivate User Permissions to remove access to the property. These users are shaded in gray and drop to the bottom of the list. They won't be able to access your information anymore but will be able to continue working with another property, if they have access to more than one.

If the user has left the company and shouldn't be logging in at all, click Deactivate User to remove their access from the system entirely. The Status will change to Inactive.
If the user is moving to another property in your company, and will be using the same email address to access Delphi Diagramming at their new location, just do step one. Then, once they have been granted access to the new property, they'll be able to use their same credentials to log in.
If the user's status is active but they are shaded in gray, grant permissions to your property and allow them to log in.
- Click on the user line or the Edit button .
- Select Permissions Are Active, and click Save.
An account is locked if there have been three unsuccessful login attempts, or if the user has not logged in for 90 days. The status column shows Inactive and is easily resolved.
- Click on Activate next to the user.
- Click Edit and make sure Permissions Are Active is selected.
If the user did not complete their registration within 7 days, the Property Admin can re-send the email by clicking Re-send Welcome email .
Users with read-only access can view and print diagrams but cannot edit or create them. They also cannot change booking or event information.
- Click on the user line or the Edit .
- Select or clear the Read Only Access check box, as needed.
Have you ever wondered who removed a user's access? Changes to user profiles are logged in the system. Point to a user and click Show User History to determine when it was changed and by whom. This feature was introduced on May 17, 2022, so only changes made after that date will be displayed.
