Overview: Package event revenue breakdowns

Similar to a menu, the revenue breakdown for a package event is used to calculate the per person price. For example, the revenue breakdown of a dinner might allocate 25.00 to Food and 10.00 to Beverage, for a total price of 35.00 per person. Your administrator has defined the default revenue breakdown for each package event, but you can modify that breakdown if you negotiate a different price, or if you associate an event to a booking package.

Because the per person price has already been calculated, it does not matter which menus and items are added to a package event. When the Included in Package check box is selected, the revenue breakdown and package attendance are used to calculate the package revenue and taxes. This calculation is different from non-package events where the item unit price or the menu revenue breakdown is used to calculate revenue.

For example, you have a menu that is sold for 36.95. However, for this package, the revenue breakdown includes 25.00 for Food and 10.00 for Beverage for the Dinner event classification. The 'Included in Package' check box is selected. This tells the system to ignore the menu's 36.95 unit price, as well as its own revenue breakdown, and use the dinner's revenue breakdown to calculate the actual package revenue. If you have 50 package attendees, the revenue calculates as follows:

25.00 (Food allocation) x 50 (package attendance) = 1,250.00 Package Food Revenue

10.00 (Beverage allocation) x 50 (package attendance) = 500.00 Package Beverage Revenue

1,250.00 + 500.00 = 1,750.00 Package Event Revenue Total

This revenue displays on the Package Revenue section of the Booking page.

Clear the 'Included in Package' check box to use the item unit price or the menu revenue breakdown to calculate the actual non-package revenue. Use this when a menu or item needs to be sold as an add-on to the package. This revenue also displays on the Booking page. The revenue breakdown on the package event is used for forecasting rather than the average checks on the event classification. As a result, the forecasted and actual revenue for a package are the same.

Any guests who attend an event outside of the package are considered non-package attendees. For those individuals, the event's revenue breakdown is not used to calculate package revenue and taxes. Instead, the actual revenue calculates using the item unit price or menu revenue breakdown. This displays as Non-Package Revenue on the Booking page and as separate line items on the booking check.

Function room rental

Function room rental needs to be entered as a per person amount on the event's revenue breakdown. For example, a meeting might allocate 20.00 per person to the Function Room Rental revenue classification.
