Add or modify function room capacities

Prevent your users from overbooking space by providing a maximum capacity for each setup type. An event with attendance that does not fall within the minimum and maximum capacity range results in an event conflict warning. You can run the Capacity Conflict Report, in the Booking Reports folder of the Reports tab, to make sure all future events meet capacity requirements.

To add or modify a function room capacity

  1. In the Function Rooms section of the Property page, click Update Capacities.

  2. When you expand a room, all the function room setup types for your property display. Enter or update any applicable information as described below.

    Description
    Min Capacity Enter the minimum capacity when you do not want users to block this room for groups under a certain size. Otherwise, leave this field blank so users do not get a conflict warning when they block an event without attendance.
    Max Capacity

    Enter the maximum capacity that this room can hold in this setup style. If a user tries to block the room with more attendees, they are notified with a conflict warning. However, they can still save the event. Then, each time the booking is opened, it displays a notification that one of the events has a capacity conflict.

    If a setup type does not apply to a specific room, Amadeus recommends to enter '1' as the maximum capacity. Then, a conflict displays when a user selects this setup type by accident. For example, a boardroom with a built-in table can only be set up as conference style. In this case, enter '1' as the max capacity for all other setup types.
    Setup and Teardown Times Enter the default amount of minutes it takes to set up and tear down this room for each setup type. This blocks some extra time before and after an event to reset the room for the next event. If needed, users can adjust these times as they detail the booking.

  3. Do one of the following:

    • Click Save to save your changes.
    • Click Save & Next to save your changes and proceed to the next function room.
    • Click Cancel to discard your changes.
