Conflict checking
Conflict checking ensures that multiple events are not blocked in the same function room at the same time. The following rules govern how conflict checking works:
- Conflict checking occurs when the booking event is saved.
- Conflict checking always occurs for tentative and definite booking events. However, your property configuration may also allow prospect events to hold space. In that case, conflict checking will include prospect events.
- When you attempt to block a booking event in a function room that is not available, your event will be sent to the Unassigned function room. You can then modify the event by changing its function room or its start/end time to resolve the conflict. See Resolve booking event conflicts.
- Overlapping setup/teardown times and function room capacity violations result in conflict notifications on the booking event being created. However, the event is not automatically moved to the Unassigned function room. It is up to you to decide if it is acceptable for the event to remain in the original function room. The system uses the function room's capacity settings to determine maximum/minimum capacity conflicts.
- If part of a combination function room is already blocked, you are prevented from blocking that combination room. For example, the Grand Ballroom is a combination of Ballroom A, Ballroom B, and Ballroom C. If Ballroom A has already been blocked, the Grand Ballroom will not be available for events on other bookings. Similarly, if the Grand Ballroom has been blocked, none of its component rooms will be available to sell during that time.
Conflict checking exceptions
- Conflict checking does not include events on the same booking. For example, if you block an All-Day Meeting in Salon A from 8 AM - 5 PM, and you also block a Lunch in Salon A from 12 PM - 1 PM for the same booking, conflict checking is not required since it's the same group having lunch in the function room.
- If the function room is a shared or common space (for example, a restaurant), multiple groups are allowed in the space at the same time.
