Booking Event Search window
You can clone an event from any booking. If you can view the booking, you can copy its events—including events that are at a different property.
For example, your customer held a five day meeting last year at The City Hotel. This year they want to have the same program, but at The Beach Resort. Instead of recreating the entire program, search for last year's booking at The City Hotel and then clone the events to this year's booking at The Beach Resort.
To clone events from an existing booking
- In the booking you want to bring the events into, click Manage Events.
- Click the Booking Event Search button on the right side of the page.
- Enter your search criteria and click Go.
A nice shortcut is to click the drop-down arrow next to the Booking field to see the last 25 bookings you viewed. Can't find what you're looking for? Type the name of the booking in the Search box and press Enter. A blue dot next to the booking name indicates the booking has events.
- Select the events you want to clone and then click the + Add Events to Booking button in the top left corner of the Search window.
The cloned events are added to the booking and you can see them in the Manage Events Grid where you can update the event date, function room, and other details as needed.
Good to know:
When cloning events from any property:
- The agreed and expected numbers from the existing events are copied to the new events.
- The status of the copied events will be reset to match the new booking's status.
When cloning events from the same property:
- Menus and items attached to the existing events are copied to the new events. If the event classification has default items, they are not applied.
- The event classification, function room setup, and function room are cloned as-is.
- If Update Booking Event Average Checks is selected on the Property page and you copy an event from the same property with the same event classification, then the default average check is applied.
- If Update Booking Event Average Checks is not selected on the Property page and you clone an event from the same property with the same event classification, then the average check from the existing event is applied.
When cloning events from a different property:
- New events are placed in the Unassigned function room.
- Menus and items attached to the existing events are not copied to the new events. If the event classification at the new booking's property has default items, they are applied.
- If an identically named event classification exists in the new booking's property or as a corporate value, then the event classification on the new booking is set to that, and the average check is applied. Otherwise, the event classification is set to the default event classification defined at the new booking's property.
- If an identically named function room setup exists in the new booking's property or as a corporate value, then the function room setup on the new booking event is set to that. Otherwise, the function room setup will be set to the default setup for that function room or it will be set to Unassigned.
