Clone booking events

The content of this page is specific to the Delphi product type only. If you are using the Delphi Core product type and want to learn more about the Delphi product type, contact your sales representative.

You can use the Clone Events window to create multiple copies of an event. For example, you might have a program that consists of several recurring events with the same event order requirements. Rather than recreating each event and adding the same items, you can clone the events, along with their items, to any number of days. This includes cloning the events to the next day, to all days in the program, or to a custom date range.

If the cloned booking events result in function room conflicts, a notification displays at the top of the Booking page. See Conflict checking.

To clone events within the same booking

  1. Open the booking.
  2. Click Manage Events at the top of the page.
  3. Select the events to clone and click Clone Events (Clone event icon of a yellow notepad and a green plus). You can also right-click one of the selected events and click Clone Events.
  4. By default, the events are cloned to each day of the program through the booking's departure date. You can change this format using the following options:

    • Date + 1 - This clones the events to the next day.
    • Date + 1 to Departure - This clones the events to each day of the program through the booking's departure date.
    • Custom Dates - This clones the events to a custom date range you define using the From and To fields.
    • Days of week - This clones the events to the selected days of the week within the booking's date range.
    • Days of month - This clones the events to the selected days of the month within the booking's date range.

If you are cloning to a custom date range or to a particular day of the week or month, you need to click Refresh (Green refresh arrow) to update the events grid with your changes.

Use the Move Back and Move Forward buttons to shift the events to a new date before cloning them.

  5. Click the Copy Menus and Items, Copy Packages, Clone AHD Diagrams, and Done columns to display a checkbox. Selecting and clearing the checkbox switches between Yes and No as your clone option.

The Clone AHD Diagrams column is available if your property integrates with Delphi Diagramming and clones an existing diagram to the newly cloned event.

Done indicates the BEO is detailed and is ready for distribution. See Mark a booking event done.

  6. Click Save. When a cloned event is outside the booking’s date range or a function room conflict occurs, a notification displays.

To clone events from another booking

You can also clone an event from another booking. If you have access to view the booking, you can clone its events, including events at a different property.

  1. Open the booking.
  2. Click Manage Events at the top of the page.
  3. Click Booking Event Search (Expand icon with two blue arrows) on the right side of the page.
  4. Enter your search criteria and click Go. You can click the drop-down arrow next to the Booking field to see the last 25 bookings you viewed. Or, you can enter the name of the booking in the Search box and press Enter. A blue dot next to the booking name indicates the booking has events.
  5. Select the events to clone and then click Add Events to Booking in the top-left corner of the Search window. The cloned events are added to the booking. They display in the Manage Events Grid where you can update the event date, function room, and other details as needed.
