Multi-edit events

The content of this page is specific to the Delphi product type only. If you are using the Delphi Core product type and want to learn more about the Delphi product type, contact your sales representative.

You can use the Edit Multiple Events window to make the same change to multiple booking events.

To edit multiple events

  1. Open the booking.
  2. Click Manage Events. The Manage Events window displays.
  3. Select the booking events to edit, and click Edit Multiple (Pencil icon). The Edit Multiple Events window displays.
  4. In each applicable field, enter the value to apply to all selected events.

    Field Description
    Event Classification This is the booking event type. When you select a value here, only the name of the event classification is updated. Other event classification details, for example, start and end times, menus and items, and function room setup, remain the same until you manually update them.
    Event Status This is the status of the booking events. By default, the status of a booking event matches the status of the associated booking. When you change the status of the booking, the associated events automatically update.

    You can change the event status if the Override Booking Status checkbox on the Booking Event page is selected. If this checkbox is not selected, you cannot update the status of your selected events.

    Function Room

    This is the function room for the booking events. If a conflict exists with the function room you select, a warning icon displays in the grid and your events are moved to the Unassigned room. See Resolve booking event conflicts. To avoid conflicts, check availability before you block function space.

    Function Room Setup

    This is the setup style for the function room assigned to the events.

    The maximum and minimum capacities for the function room setup are used in conflict checking. If a setup is not selected, the function room's default capacities are used instead.

    Agreed This is the total number of guests the customer agreed to attend the events.
    Expected This is the total number of guests you expect to attend the events.
    Guaranteed

    This is the total number of guests the customer has guaranteed to attend the events.

    Set This is the total number of seats to be set for the events.

    You can enter the set attendance for both non-package and package events.

    Actual This is the total number of guests who attended the events.

    You can enter the actual attendance for both non-package and package events. The actual attendance for a package event is not driven by the package attendance.

    Done When this value is set to Yes, it indicates the BEO is detailed and is ready to distribute. The following changes also occur:
    • Reports use the actual revenue from the BEO rather than the forecasted revenue entered on the Booking Event page.
    • The Blended Revenue calculation on the Booking page uses the event's actual revenue rather than the forecasted revenue.

    After an event is marked done, any changes to the BEO need to be logged in the Change Log section.

    Post

    When this value is set to Yes, the booking events display in the Event Posting report.

    Tax Group This indicates which taxes need to be applied to the booking events.
    Moveable

    When this value is set to Yes, it indicates users with the appropriate permissions can move the booking events to another function room. When this value is set to No, the events cannot be moved.

    Move Events by Days

    This moves the selected events by a set number of days. If the events are moved outside the booking’s date range, a notification displays. You can then adjust the event dates to stay within the booking’s date range or change the booking to reflect the new event dates.

    Start Time 12 Hour and End Time 12 Hour

    These are the start and end times for the booking events.

    A booking event's times are based on the time zone of the property where the booking event takes place.

    Setup Duration and Teardown Duration Setup and Teardown Duration values are specified in minutes and are added to the event block in the Function Diary. See Navigate the Function Diary.

    Setup and teardown times are included in conflict checking. If a conflict exists, a warning displays. Your booking events remain in the selected function room, however, and are not moved to the Unassigned room. For more information, see Conflict checking.

    BEO

    This displays the BEO numbers the events are assigned to.

    A BEO does not need to be merged for its number to display.

    Apply Admin & Gratuity to Disc Price

    When this checkbox is selected, all menus and items on the events calculate admin and gratuity with the discount price. You cannot override this option on the individual menu or item. When cleared, the individual menus and items on the events indicate how admin and gratuity need to be calculated with the base or discount price. See Apply admin and gratuity to discounts.

  5. Click Update.
