Navigate the Function Diary

The Function Diary has several tools and visual indicators to help you work with the events that are blocking function space at your property. On the left side of the diary, you can see a list of function rooms at the properties you have selected. The right side of the diary displays the events that are blocking space in those rooms.

Function rooms

The left side of the Function Diary shows you all the function rooms at the selected properties. Click the arrow next to a property to expand or collapse the list of function rooms. You can also click a function room to open the Function Room page and view the details. Here are some additional tools to help you work with the Function Diary.

Function room icons

Icon details
Indivisible Room (Single calendar icon) Indivisible function rooms cannot be divided into smaller rooms but can be combined with other function rooms to create a combination room. For example, Ballroom A is one section of the Grand Ballroom.
Combination Room (Double calendar icon) Combination rooms consist of smaller function rooms. For example, the Grand Ballroom is a combination of Ballroom A, Ballroom B, and Ballroom C.

Blocked as part of a combination room

Rooms that are a part of a blocked combination room display the blocked event in a lighter shade to indicate these rooms are also unavailable.

Unassigned function room

Events that do not have an assigned function room display in the Unassigned row in the Function Diary. Some of these events might have been sent to the Unassigned room due to a conflict. To ensure these events block space at the property, they need to be moved out of Unassigned and into an available function room. See Resolve booking event conflicts. Do not make any changes to this virtual function room.

You can choose to display or hide the Unassigned row with the Hide Unassigned Function Rooms in Diary option on the Amadeus User Settings page. You can also right-click in the Function Room column and select or clear the Hide Unassigned Function Rooms checkbox.

Function room groups

You can filter the diary to view only selected function room groups.

Each time you view the Function Diary, verify the applied Function Room Group filters. You might need to change the filters to see all the events that are holding space at the property. Your Function Room Group filter selections still apply the next time you open the Function Diary.

Right-click options for function rooms

Right-click anywhere in the function room area of the diary to use these options.

Right-click option details
View Availability - <Property Name> This option opens the diary for that property in a new browser tab.

This option is only available when you right-click a property name.

Hide Unassigned Function Rooms Select this option to hide the Unassigned row. If the row is already hidden, clear the option to display the row.
Collapse All Select this option to collapse all the rows under a property.
Expand All Select this option to display all the rows under a property.

Events

On the right side of the Function Diary, you can see the events for the selected date and properties. Several visual indicators help you manage events using the diary. Here are some additional tools to help you work with the Function Diary. You can also use the Quick Create window to create and edit events directly in the diary.

Event colors

By default, events are color-coded according to their status. Your administrator can create additional color palettes for other event-related fields. You can see which fields are enabled for your property when you click the Event Color button in the top-right of the diary. The color option you select displays the next time you check availability.

If you do not see the Event Color button, check with your administrator to see if this feature has been enabled.

Event labels

Events are labeled with their name by default. Your administrator can make other labels available by adding them to the Event Label button, which displays in the top-right of the Function Diary. To change an event label, click the button and make your selection from the list of available labels. The label you select displays the next time you check availability.

If you do not see the Event Label button, check with your administrator to see if this feature has been enabled.

Event tooltips

Tooltips display event details on the Function Diary. When you hover over an event, the tooltip window displays some information by default. This information includes: Event Time, Event Time With Turn Times, Event Name, Booking, Event Status, and Booking Owner. Your administrator can add other event-related fields to the tooltip as well.

Event setup and teardown times

Setup and teardown times indicate the amount of time needed before and after an event to set and clear the room. These times are shown as diagonally striped extensions of the blocked space.

Option events

When an event has been wait-listed in a function room, the Function Diary displays that event as an option for the room. The option event displays outlined in the selected color palette. While the event is not blocking space, this indicator helps you see that the event is waiting for the room if the primary event cancels.

With version R54 or higher, users can be notified when option event function space becomes available. See Option event notifications.

Booking filter

You can use this button to select a booking and view only those events in the diary. Events from other bookings display as shadows so you can focus on the events you select. A booking needs to have events in the visible time range to appear as a Booking filter option.

If you do not see the Booking filter button, check with your administrator to see if this feature has been enabled.

Property row event shadows

The Property row can display events for all function rooms as shadows. You can then identify time periods when no events are blocked.

By default, event shadows are hidden on the Property row. If you do not see the property row event shadows, check with your administrator to see if this feature has been enabled.

Right-click options for events

Right-click an event in the diary to use these options.

Right-click option details
Edit This option displays the Quick Create window where you can modify the event details.
View This option displays the Booking Event page where you can view and edit the event details.
Manage Events This option displays the Manage Events page where you can enter additional information about the event.
Manage Menus and Items This option displays the Manage Menus and Items page where you can work with the event's BEO.
Delete This option deletes the event from the booking.

These options are available when you right-click a blank space in the diary.

Zoom In and Zoom Out These options increase or decrease the size of the events in the diary.

These options are only available in the '1 Day' view.

Refresh Select Refresh to display the most current information.

Date collections

Highlighted dates on the Availability page are called date collections. A date collection calls attention to special dates that impact your property's rates, inventory, and operations. Examples include holidays, citywides, and promotions. To view details about a highlighted date, hover over the date column header. You can also click the column header to open the date information in a separate window.
