Create booking events in the Function Diary

You can create a booking event in the Function Diary with the drag feature. You need to be the booking owner or a booking source to create an event.

If you try to create an event in a function room that is used by another booking, your event is moved to the Unassigned function room and a conflict notification displays.

If your administrator has enabled the Create Options on Conflict feature for your property, your event is added to the original function room's waiting list as an option event. See Manage option events. With version R54 or higher, users can be notified when option event function space becomes available. See Option event notifications.

To create a booking event in the Function Diary

  1. Open the Function Diary.
  2. Next to the appropriate function room, drag to create the space block for the booking event. The start and end times display as you drag. Use these as guidelines to create the space block. The time adjusts to the nearest 15-minute time period.

    The Quick Create window displays the event's Start Date, Start and End Time, and Duration. The following information defaults if entered by your administrator: Function Room Setup, Function Room Rental Calculation, and Rental.

  3. Complete the other fields in this window as needed.

    Event ClassificationThis is the type of event.
    NameThis defaults from the selected event classification.
    AgreedThis is the forecasted event revenue. The agreed attendance is used to calculate this field until the expected attendance is entered.
    ExpectedThis value is used to forecast revenue for the booking event.
    BookingSelect the booking for the event. If you create the event from the Function Diary on the Booking page, the name of the booking is automatically filled in for you. You can also click Create Booking (Green plus icon) to create a new booking for the event.
  4. Click Save. The Quick Create window closes and the name of the event displays by default on the space block in the Function Diary. If you use the Event Label button to display something other than the event name, that label shows instead. The following information also displays:
    • By default, the status of the event is set to correspond with the status of its associated booking. Your administrator can change this color scheme for your property.
    • If you create a new booking, the status of the booking event is set to Prospect, which is also the default status of the new booking. You can change the event status with the events grid on the Booking page.
    • If the function room has default setup and teardown times, those times display as diagonally striped extensions of the space block. See Navigate the Function Diary.
  5. To detail the event, right-click the event in the Diary and click Manage Events to open the Manage Events page.
