Assign events to BEOs

Using the Assign BEO# options, you can assign events to one or more BEO numbers and then merge or batch merge directly from the Manage Events page. This is a significant time-saver when you're batch merging since you no longer have to merge each individual BEO before running your batch. If you later decide to move an event to a different BEO, you can quickly reassign it to a different BEO number and then merge again. You can also remove an event from a BEO altogether.

While you're working on the Manage Events page, it might be helpful to move the BEO and Done columns to the beginning of the grid so you can quickly see which BEOs have been detailed and which have been assigned to a BEO. You can use the Edit Multiple Icon of a pencil button to set all completed BEOs to Done = Yes. See Edit multiple events.

To assign events to a BEO

  1. Open the booking, and click Manage Events.

    The Manage Events page opens and displays the event program at the current property.

  1. Select the check box next to each event you want to assign to a BEO.
  2. Click the BEO BEO icon of a cloche button and select one of the following options:

You can also access these BEO options by right-clicking a selected event in the grid.

  1. If an event is already assigned to a BEO, you are prompted to confirm that you want to reassign the event to the new BEO number. Click Yes to proceed or No to cancel.

    The Assign BEO# window opens.

  1. Select the BEO Template, confirm that the list of events is correct, and click Save.

    A BEO number is displayed next to each selected event on the Manage Events page. BEO numbers are assigned in sequential order. Deleted BEO numbers are not "recycled"—for example, if you have BEO# 148, 149, and 150 and you delete 150, the next BEO assignment will be 151.

To move an event to a different BEO

  1. Click in the BEO column in the events grid and select the appropriate BEO number. The list shows all BEO numbers created for the current booking.
  2. Click Save Save icon, and then click Yes to confirm that you want to reassign the event.

To remove an event from a BEO

  1. Click in the BEO column in the events grid and press the Delete key to remove the number.
  2. Click Save Save icon.
