Create function room groups
Function room groups are used to filter the Function Diary to make checking availability more efficient at large properties. For example, it can be helpful to see a smaller set of rooms like all of the outdoor space, rooms on the mezzanine level, or only the combination rooms.
Function room groups are created by an administrator on the Property page and can only include function rooms from a single property.
Each time you view the Function Diary, double-check the Function Room Group filters that are being applied. You may need to change those filters to get a complete picture of all the events that are holding space at the property. The system remembers the last function room groups that were selected and automatically applies those filters the next time you open the Diary.
To create a function room group
- Do one of the following:
- Open the property where you want to create the function room group, navigate to the Function Room Groups related section, and then click New.
- Open the function room group you want to copy and click Clone.
The New Function Room Group page opens.
- Complete the fields on this page, as needed.
Field Description Name The name of the function room group as you want it displayed in the Function Diary. Property Displays the name of the property where you are creating the function room group. Description A brief description of the function room group. Sort Order The order in which the function room group will be displayed in the Function Diary and in the Function Room Groups section of the Property page.
- Click Save.
The Function Room Group page opens.
- In the Components area, click New.
The New Function Room Group Component page opens.
- In the Component Function Room picklist, assign a function room to the group.
Indivisible, combination, and standalone function rooms can be added to a group. A function room can be added to multiple groups.
- Click Save and New to save your changes and assign another function room to the group.
- When you are finished assigning rooms to the group, click Save.
