Enter actual quantities

At the end of an event, the group's final details need to be entered before a banquet check can be printed for the customer. These details include the group's final attendance, the quantities of menus and items sold on consumption, and any last-minute items.

When you enter a group's final attendance, all per person menus and items on the BEO are automatically updated to reflect that number. However, if the BEO includes menus and items sold on consumption, you need to update those quantities to ensure the banquet check charges are correct.

This topic explains how to update the actual quantities of menus and items sold on consumption.

To enter actual quantities for items

When a BEO includes non-menu items sold on consumption, you can enter those actual quantities directly in the grid on the Manage Menus and Items page.

  1. Click the Booking Events tab and select the Banquet Events Today view.
  2. In the Name column, click the event.
  3. Click Manage Menus and Items.
  4. For each item with the quantity set to Not Calculated, click the Actual Quantity field and enter the value. Press the down arrow key to move through the list of items.
  5. Click Save.

To enter actual quantities for per item menus

Some properties sell menus that include items sold on consumption, for example, hosted bars, receptions, and breaks. These detailed menus do not have a price because the customer is charged per item. For this reason, you need to enter an actual quantity for each of the items on the menu rather than the menu itself. Use the Editing Item Details page to see all the items on the menu and enter the actual amounts.

  1. Click the Booking Events tab and select the Banquet Events Today view.
  2. In the Name column, click the event.
  3. Click Manage Menus and Items.
  4. Next to each menu with the quantity set to Not Calculated, click Edit (Icon of a pencil) to open the Editing Item Details page.
  5. Click the Items tab.
  6. Click the Actual Quantity field, and enter the value. Press the down arrow key to move through the list of items.
  7. Click Save.

The menu quantity does not update with your changes. You can see the individual item quantities and the appropriate charges when you print the banquet check.
