Migration FAQs: MeetingMatrix to Delphi Diagramming
Welcome to Delphi Diagramming! As a previous user of MeetingMatrix 2010, or someone who is thinking about transferring to Delphi Diagramming, this page is for you. Moving from one program to the other should be an easy transition because the steps to build a diagram are very similar. Like when you moved from a flip phone to a smart phone, you'll just need to learn some different terminology and enjoy discovering the exciting upgrades that await. These are the questions most people have about the migration:
The Amadeus migration team does all the heavy lifting —seriously. No meetings, calls, or workbooks required. After you sign up for the complimentary sunset transfer, we'll add you to our schedule (probably within a few weeks). We will create your Delphi Diagramming property with all your existing rooms that we have on file from your MeetingMatrix projects.
When we're done, your property administrator will get an email with their Delphi Diagramming login. They will need to spend a little time tweaking some settings and creating the rest of the users following this checklist. Depending on how many rooms you have, it shouldn't take more than a couple of hours —we estimate about five minutes per room. All the while, you'll still have access to MeetingMatrix so you will never experience any downtime.
Absolutely! If your admin wants help, they can add users to share the workload. That will get the rest of your team into the system sooner, and train others to help with the upkeep long term. Administrator permissions can even be added temporarily. We'll talk you through it all when the time comes.
We won't remove your access to your existing program, so you can continue to work there for important upcoming events while you get settled in. However, you won't want your users to be confused about which system they should be using for each event. For this reason, we recommend uninstalling MeetingMatrix from your workstations once your Delphi Diagramming setup is complete. All event diagrams created in your previous system are saved as .MMS files. These will still be available after uninstalling MeetingMatrix and can be imported into Delphi Diagramming.
Learning a new system can take time, be patient with yourself. We have a range of resources right here in training & help for every page in the product, available to use any time you need. You might. To create your new property, we use the Room Diagram files that we saved from your MeetingMatrix projects. Any work that was done by Amadeus— whether from your initial installation or modifications to your rooms you hired us to make between then and now— will be there when you log in to Delphi Diagramming. If you made changes yourself or created your own rooms in MeetingMatrix, you'll need to make those same updates. When you log into your new system follow the steps in our handy guide. Most of our customers find it pretty easy and don't have many updates to make. Give the admin checklist a whirl, and then if you still need help contact us for a quote.
Over time, we often collect unnecessary junk and therefore it's unlikely that you'll want to move every setup that has ever been created. This is a great chance for some clean up! You'll likely want to transfer over any setup diagrams you've already started for upcoming events and any templates you use regularly, like your favorite wedding setup in the ballroom. The easiest way to do this is to import your existing .mms files. When importing a room plan, you need to tell the system which room it was drawn in. This is so that when the diagram overlays the outline of the room, everything lines up correctly (just like laying tracing paper over a canvas). We recommend first organizing the files you want to keep by the space they belong in. Then you'll be able to import the files in batches, one room at a time.
The new system allows you to do this all by yourself with a few clicks! As you follow the checklist, we'll show you how to enable your meeting spaces for automatic layout using the Layout Editor, which also updates your maximum capacities. Of course, if you are unable to find the time to make the updates yourself, you can purchase services for assistance to follow your complimentary migration.
Delphi Diagramming allows you to create individual setups just like you do in MeetingMatrix (we call them Quick Rooms Plans). We also have bookings and events that you can use if you like. When a customer requires multiple diagrams, it's helpful to organize them by booking, which also allows you to quickly batch print all of their diagrams into a single PDF!
Like a lot of new systems, we've moved your database into the cloud. All you need is internet access! No need to worry about servers, networks, or shared drives any more. You can work from anywhere.
Delphi Diagramming has two editions: Property and Website.
The complimentary transfer includes Property Edition, which fully replaces (and also improves) the functionality of MeetingMatrix. Your team will use Property Edition to make diagrams that are sent to customers.
Website Edition adds interactive diagrams to your website showcasing your property in the best light. Customers can see local attractions surrounding your property, understand what's on each level of your hotel with intuitive floor plans, review setup styles for each room, and even create their own diagrams to share and collaborate with you. This is a great way to increase your sales opportunities as the planner can actually send an RFP from the website!
If you would like to purchase Website Edition, please contact sales instead of signing up for the complimentary transfer. We have a promotional offer for customers who want to have both editions installed at the same time that will provide more cost savings than adding Website Edition later.
