Corporate response templates

If you have locations that use the standard MeetingBroker proposal, or that work in the standard MeetingBroker user experience when replying to RFPs, you can provide template paragraphs for them to use when responding to customers. For example, you can provide verbiage for a wedding proposal, a corporate proposal, a regret due to no availability, and so on. This saves users a lot of time and data entry and ensures consistent messaging. The template responses are available from the Select Response button on the Send a proposal for an RFP page and the Turn Down RFP page. After users have selected the template response, they can edit it to personalize the message if necessary.

For locations that use an enhanced proposal, such as Cendyn eProposal or eProposal Lite, you can load proposal template messages in eProposal setup instead of here.

Turn down template messages are only needed for locations that use the standard MeetingBroker experience. They are not available for Email Only locations, SUE locations, or locations that are integrated with a sales and catering system like Amadeus Sales & Catering Delphi.

To upload a corporate response template

  1. Create a .txt file with the response for each scenario.

    • From your desktop, right-click and click New, and then click Text Document.
    • Name the text document, for example, 'WeddingProposal.txt.' Make sure you do not have spaces in the file name.
    • Double-click to open the text document.
    • Enter the verbiage for the response, like the wedding proposal details, and save the file.
  2. From the Subscription Administration Home page, click the Toolkit Sites tab. The Subscription Toolkit Sites page opens.
  3. Select the Default Channel.
  4. Click the Content tab.
  5. Click New to open the Content Item window.
  6. Click Browse and select the .txt file from your desktop.
  7. In the Name field, enter the name that users see when selecting the response.
  8. In the Description field, provide information to help users when they are selecting a response, for example, 'Wedding with guestrooms' or 'Wedding no guestrooms.'
  9. Click Save.

Your standard response is now available for use.
