Subscription administration tasks
A subscription administrator has the highest level of access in MeetingBroker. This access includes all user profiles, reports, and corporate-wide settings that impact all locations. As the subscription administrator, you need to be familiar with the settings available to you and your location administrators to maintain the same standards across all properties.
The following provides a summary of the primary subscription administrator tasks:
- New subscription checklist - If you're starting a new project or taking over an existing subscription, you'll want to start here to make sure the basics are covered in the right order.
- Manage users - Learn about your role in the user management process. Your location administrators can create users for their property, but you're the only one who can make a user inactive.
- Establish subscription assignment rules - Provide above-property (corporate and regional) users visibility into RFPs that meet certain criteria at any of the locations, for example, when Global Account Managers want to be alerted about leads for their key accounts.
- Determine escalation policies - How long does a customer wait to receive a response to a new RFP? You can let each property decide, or you can set an escalation schedule for them.
- Define and map setup values - Define how key setup values, like market segments and event types, flow between MeetingBroker, channels, and integrated sales and catering systems.
- Enter exchange rates - Maintain exchange rates to ensure that all revenue figures are accurately converted when you're working with international planners.
- Specify recommended fields - If you have users that send leads from MeetingBroker, you can customize the Meetings page by highlighting important fields and adjusting the layout.
- Define master accounts and agencies - Do you have key customers that give you repeat business? Create master accounts for them to prevent duplicate records in your sales and catering system and to streamline assignment rules.
- Manage terms and conditions - If you want users to accept legal terms and conditions in order to log in to MeetingBroker, you can create terms that apply to all users or only certain types of users, like those with administrative permissions.
- Create custom attributes - Provide additional information about your locations when users are searching for properties to receive leads. Ffor example, do the properties allow pets?
- Customize email messages - Tailor the content of the emails that are automatically generated by MeetingBroker to suit your organization.
- Create corporate response templates - If you use the MeetingBroker proposal instead of an integrated eProposal, you can provide Sales Managers with standard text to include in their responses.
After you are familiar with the Subscription Administration area, make sure you also review the Location Administration information.
