Set user preferences

If you're an administrator, you can update the User Preferences page when you create new users, but the default settings are usually what you want. Later on, users can update their own information, if needed.

Each option on the User Preferences page is described in detail below.

Field Description
Out of Office Settings If you're creating a new user, leave the default setting of In Office.

Remind users to come here and change the setting if they will be unavailable to respond to RFPs for an extended period of time. When users are out of the office, their MeetingBroker notifications will be forwarded to the location's Default Lead Coordinator.

Default Lead Coordinators cannot select the Out of Office setting in their user profile. When a DLC will be on extended leave, an administrator must assign another user as the DLC on the Location Details page. When they have been removed from the DLC field, they will be able to select Out of Office.

Email Delivery Options Select a format for email notifications that are sent from MeetingBroker (HTML or Plain Text).
Notification Preferences Select the notifications the user should automatically receive for new and/or updated RFPs.

The Inbox options will add an alert to the MeetingBroker Inbox folder on the Home page. The E-mail options will send an alert to the email address entered in the user profile.

  • My RFPs - These notifications are sent when this user is the RFP Owner. You can be assigned as the RFP Owner in one of the following ways: assignment rule, manually assigned by another user, or assigned as the booking owner in an integrated sales and catering system.
  • My Team's RFPs - Users are considered part of the RFP Team if they've been copied on the RFP by an assignment rule or manually added to the team by another user.
  • Simplified User Experience Outstanding Items Notifications - If the user has access to a Simplified User Experience (SUE) location and should be notified when they have outstanding RFPs, select this check box. Then select if the user should receive the notifications only when they are the RFP owner or also for RFPs where they are on the RFP team.
Preferred Sending Subscription Only applicable to users who have access to more than one subscription and are integrated with a sales and catering system (Cross-Subscription Integration). If the user has access to multiple subscriptions, select the subscription with the locations most likely to receive property-to-property leads from this user. When the user sends an RFP to another property by clicking the Create Meeting button in the sales and catering system, the subscription indicated in this field will be the one that opens.
Signature A user-specific signature can be appended to email messages sent from MeetingBroker.
